Overview

The Partnership for a Drug-Free New Jersey (PDFNJ) is a statewide nonprofit organization dedicated to preventing substance use through education, public awareness, and community collaboration. We are seeking a highly organized, detail-oriented, and motivated Operations and Development Assistant to support the organization's day-to-day operations while assisting with fundraising, board administration, and special projects.

This position is ideal for an individual who thrives in a fast-paced, mission-driven environment and enjoys coordinating multiple projects, supporting organizational operations, and contributing to the success of statewide initiatives and events.

Responsibilities

Gala & Fundraising Coordination

• Serve as the primary coordinator for the organization's annual Angel of Hope Gala.
• Coordinate sponsorship outreach, donor solicitation, and fundraising activities.
• Maintain sponsor and donor records and assist with donor stewardship.
• Coordinate event logistics, including vendor management, event timelines, and sponsor communications.
• Support additional fundraising initiatives and special events to help achieve organizational goals.

Administrative & Operations Support

• Provide administrative support to the Executive Director and assist with the daily operations of the organization.
• Maintain organizational files, records, and databases.
• Coordinate office administrative functions, including postage, office supplies, vendor communications, and procurement of bids.
• Prepare correspondence, reports, presentations, and other organizational documents.
• Assist with scheduling meetings, maintaining calendars, and coordinating logistics.

Project & Organizational Support

• Provide logistical and administrative support for routine and special projects.
• Assist with statewide prevention initiatives and cross-functional organizational projects.
• Coordinate meeting preparation, document distribution, and project follow-up.
• Help ensure projects are completed on schedule and administrative tasks are executed efficiently.

Board & Stakeholder Engagement

• Assist with the preparation, scheduling, and execution of Board of Trustees meetings.
• Prepare meeting agendas, board packets, and supporting materials.
• Record meeting minutes and distribute follow-up documentation.
• Support communications with board members, sponsors, partners, and community stakeholders.

Qualifications

• Bachelor's degree in Communications, Project Management, Business Administration, or a related field, or equivalent professional experience.
• One and a half or more years of experience in administrative, operations, project coordination, or nonprofit development roles, preferably in a nonprofit or project-based environment.
• Proficiency with Google Workspace and Microsoft Office (Word, Excel, PowerPoint).
• Excellent organizational, time management, and multitasking skills.
• Strong written, verbal, and interpersonal communication skills.
• Ability to work independently, prioritize multiple responsibilities, and exercise sound judgment, professionalism, and attention to detail.
• Ability to handle confidential information responsibly while maintaining accuracy in data entry and record keeping
• Personal assistant or administrative support experience is advantageous but not required; a proactive attitude is essential

Compensation & Work Schedule

• Compensation: $25.00 - $35.00 per hour.
• Part-time position consisting of 21 hours per week - Regular schedule of Monday, Wednesday and Thursday three (3) days per week, including:
• One (1) day per week working from the Millburn office on Wednesday.
• Two (2) days per week working remotely.
• In addition, the Operations and Development Assistant will be expected to work from the Millburn office on approximately twelve (12) designated Fridays each calendar year to coincide with the Partnership's scheduled office cleaning days. These dates will be communicated with reasonable advance notice.

Location

This position follows a hybrid work schedule. The successful candidate will be expected to work one day each week from the Partnership for a Drug-Free New Jersey's office in Millburn, New Jersey, and attend in-person meetings, fundraising events, board meetings, and other organizational activities as needed with reasonable advance notice.
