POSITION TITLE: Member Education & Training Coordinator
LOCATION: 400 S 18th St and Community (As needed)
CLASSIFICATION: Non-Exempt - Hourly
STATUS: Full-Time (40 Hours)
SUPERVISOR: Director of Safety & Corporate Compliance
POSITIONS SUPERVISED: None
This position is safety-sensitive in that the individual, without prior notice, may be required to access confidential information, operate a motor vehicle, or otherwise complete a task in which a lapse of attention could result in injury, illness, or death to oneself, coworkers, or members served.
QUALIFICATIONS:
1. High school diploma or equivalent; at least one (1) year experience in a medical or human services related field; one year (1) of professional training experience preferred; one (1) year of Arkansas CES Waiver Services supervisory or administrative experience preferred.
2. Must be available to work Monday – Friday, 8:00 a.m. to 5:00 p.m. AND one (1) to two (2) Saturdays per month (over-time must be prior approved by immediate supervisor).
3. Ability to understand written activity plans, execute instructions, and document services delivered.
4. Ability to communicate effectively both verbally and in writing.
5. Ability to access emergency service systems; ability to access transportation services required, as appropriate.
6. Friendly, positive attitude in interacting with members, member’s family/parent/guardian, vendors, stakeholders, co-workers, and the community at large.
7. Dependability, organization skills, ability to meet all reporting deadlines, strict adherence to HIPAA, utmost confidentiality of all sensitive agency matters, be self-starting, and ability to work independently; must be able to work under micromanagement instead of micromanagement.
8. Proficient in computer software, data entry, communications, and basic office skills to include scanning, fax, email etc.; computer literate and proficient in Microsoft Word, Microsoft Office, Excel, and other software packages that may be introduced.
9. Have satisfactorily passed a criminal background check, and adult, child maltreatment registry and FBI Checks (if lived outside of the state more than 5 years); Criminal background and adult maltreatment checks must be repeated every five (5) years, and child maltreatment checks must be repeated every two (2) years.
10. Acceptable driving record and ability to pass driving record check for all states resided.
11. Have successfully passed a preemployment drug screen prior to employment in accordance with the organization’s policies and procedures; Documentation shall be maintained for review by external entities.
PHYSICAL REQUIREMENTS:
1. Ability to lift up to 20lbs.
2. Time spent sitting and/or viewing computer monitor, up to 40%.
3. Time spent standing, up to 30%.
4. Time spent driving, up to 30%.
RESPONSIBILITIES:
1. Internalize that the health and safety of our members is our number one priority. Internalize the organization’s mission, vision, core values and code of ethics.
2. Treat all employees, members, visitors and guests with dignity and respect in all your interactions; maintain civility, confidentiality, and discretion at all times.
3. Ensure that AFS, Inc. is meeting or exceeding all training regulations and standards as it relates to the CES Waiver Minimum Standards, PASSE requirements, and CARF Standards.
4. Provide on-line new hire Orientation (and Annual Topics) for all agency employees.
5. Provide the following training (as needed) to individuals and/or groups:
a. Cardio-Pulmonarcy Resuscitation (CPR)/First Aid (FA) and Automated Exterior Defibrillation (AED)
b. Basic behavior management training (The Mandt System Training: Relational, Conceptual, and Trauma-Informed
c. The Mandt System Re-Certification Training
d. Medication Administration and electronic (Therap) Medication Administration Record (MAR) Training
e. ALICE (Alert, Lockdown, Inform, Counter, Evacuate)
f. Provide customized training for members, parents, guardians, and/or family members as needed in order to promote safety and/or greater independence for those we serve.
g. Other training as assigned
6. Maintain electronic training records for all employees at AFS, Inc.
7. Ensure timely and appropriate distribution of cycle-fill member medications via appointment system when designated personnel are unavailable.
8. By Friday at 9:30 a.m., provide Program Department with update on which new-hire Direct Support Professional (DSP) staff have completed all components of new hire training (to obtain their AFS Certification), and/or which employees require remediation training.
9. Provide weekly report (on Mondays or 1st business day after a holiday) to all supervisors, Director of Program Services (DOPS), Program Manager (PM), and the Director of Safety & Corporate Compliance (DSCC) that includes the following training information: employees scheduled for CPR/First Aid re-certification, employees scheduled for The Mandt System re-certification, employees expiring in any/all certifications in the next 30 days, 60 days, 90 days and 120 days, and employees who are out of compliance and whose access to Therap is currently suspended (making them ineligible for working shifts).
10. Track and document all contacts and all attempts made to schedule employees for re-certification training; provide said documentation to the DOPS, PM, and DSPSs as requested.
11. Track all recertification training requirements for all AFS employees, to include The Mandt System (every year) and AHA CPR/First Aid (every two years). All employees must recertify during the month of their certification expiration date. Provide a minimum of 90 days’ notice to all supervisors for all recertification training. Annual Topics (AT) are required to be completed by all agency employees by the last day in February every year (electronically distribute AT training by January 1st every year). Any employee who has not been recertified is to be reported to the PD and the DSCC 10 calendar days prior to the end of said month.
12. Provide training/re-training and/or support as needed to members/staff on medical equipment, supplies, and/or procedures within two (2) business days of request; these trainings may include (but are not limited to): medication administration, tube feeding, specialized diets, signs and symptoms of skin break-down, use of lifts, wheelchairs, walkers, performing Range-Of-Motion (ROM) exercises, education on diabetic dietary needs, sexual health and/or any other health-related issues individualized to the care of the member.
13. Provide ALICE training, as well as conduct workplace violence drills, in collaboration with the designated Direct Support Professional Supervisor (DSPS); teaching and drills should be modified for use in the community setting as well as the office setting (DSP employees should be trained on how to respond to violence when they are at an unfamiliar location in the community).
14. Maintain, sanitize, update and/or replace all educational materials/equipment.
15. Process empty medication sleeves starting on the 10th of each month once received from the DSPS group and destroy cards and/or medications as assigned.
16. Attend staff meetings, department meetings/trainings, and organization trainings/meetings as assigned.
17. Integrate national accreditation standards into procedures, processes and forms related to training, health, and safety.
18. Identify, create, revise, and provide any areas of training needed for DSPs. All training curriculum and materials will be reviewed and approved by the DSCC.
19. Conduct training file reviews as assigned by the DSCC.
20. Complete 12 hours of professional development annually (provide DSCC with training information for approval prior to attending any training).
21. Complete special projects as assigned.
22. Maintain positive working relationships with all administrative staff and work cooperatively with accounting, payroll, billing, human resources, executive management, program supervisors, managers and/or direct support professionals to maintain and increase positive team dynamic.
