Summary:
This position provides a wide variety of administrative and staff support services. Oversees all physical operations including setup, breakdown, cleaning, AV systems, and building readiness.
Essential Duties and Responsibilities:
To perform this position successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below are representative of the knowledge, skill, and/or ability required. - Set up and reset rooms based on event layouts
- Manage tables, chairs, and storage organization
- Operate basic sound and lighting systems
- Coordinate vendor logistics and event flow
- Maintain clean and organized event spaces
- Identify and report maintenance issues
- Coordinate dual-facility scheduling with Pioneer Center to avoid conflicts
Knowledge, Skills and Experience:
- 2 – 4 years AV systems and technical work
- 2 years of event planning experience
- Must utilize discretion in managing highly confidential or sensitive information
- Strong interpersonal skills; able to work with all levels of management and clients
- Strong organizational, time management, and prioritization skills
- Excellent verbal and written communication skills with residents, vendors, and leadership
- Ability to manage multiple concurrent events, deadlines, and priorities
- Professional demeanor and strong customer service orientation
- Ability to work independently and as part of a team
- Ability to work evenings & weekends required
- CPR & First Aid Certified
Minimum Education:
- High school diploma required; associate or bachelor’s degree preferred for full-time roles
Language Skills:
The individual must have strong written and verbal communication skills in order to communicate effectively with employees and clients at all levels of the organization.
Availability:
Regular business hours, weeknights & weekend (based on events)
Working Environment:
Combination of office and event-based environments, including indoor event spaces, storage areas, and occasional outdoor conditions. Travel will be required from day trips to the occasional overnight trips for events. Transportation will vary. Reasonable accommodations may be made to enable individuals with disabilities to perform essential functions. The Association maintains a smoke-free environment in its offices, buildings, and Clubhouse complex.
