We are seeking a dynamic and organized HVAC Dispatcher to join our team! In this vital role, you will coordinate and manage the scheduling, dispatching, and communication for HVAC service technicians and project managers. Responsibilities
- Coordinate daily dispatching of HVAC technicians, ensuring timely response to service requests and project needs using transportation management systems such as Oracle Transportation Management or SyteLine.
- Manage multi-line phone systems to handle incoming calls professionally, directing inquiries efficiently while maintaining excellent phone etiquette.
- Utilize GPS and GIS tools to track vehicle locations, optimize routing, and improve transportation planning for service routes and freight deliveries.
- Oversee shipping & receiving processes, ensuring accurate data entry into logistics platforms like AS400 or 3PL systems for freight movement and inventory management.
- Maintain organized records of dispatch activities, service schedules, freight movements, and project updates through data entry and analysis skills.
- Collaborate with supply chain teams to monitor inventory levels, coordinate shipments, and support logistics operations for seamless transportation management.
- Communicate effectively with internal teams, vendors, carriers, and clients to ensure clarity on dispatch instructions, delivery schedules, and project timelines.
Experience
- Proven experience in dispatching or transportation planning within a logistics or supply chain environment.
- Familiarity with transportation management systems such as Oracle Transportation Management or SyteLine is highly preferred.
- Strong analysis skills with the ability to interpret GPS data, GIS mapping tools, and logistics reports.
- Experience managing freight shipments, shipping & receiving operations, or fleet management is advantageous.
- Excellent organizational skills with attention to detail in data entry and record keeping.
- Proficiency in using multi-line phone systems and handling high-volume call environments with professionalism.
- Knowledge of logistics concepts including 3PL providers, shipping & receiving procedures, and transportation planning strategies is a plus.
