HVAC Office & Operations Manager — HVAC Industry Experience REQUIRED

We are ONLY considering applicants with a minimum of 3 years of direct administrative or operational experience working for an HVAC service and installation company.

This is NOT an entry-level position and we are NOT looking for a general office manager who needs to learn the HVAC industry.

We need someone who already understands HVAC service calls, technician dispatching, maintenance agreements, equipment installations, estimates, invoices and the day-to-day challenges of running a heating and air-conditioning business.

About Hurricane Air

Hurricane Air Conditioning of SWFL is a locally owned heating and air-conditioning company serving Southwest Florida since 2000.

We're looking for an experienced HVAC Office & Operations Manager who can take ownership of daily office operations, support our field technicians, lead our customer service team and help us deliver an exceptional customer experience.

We need someone who understands the pace of an HVAC company and can make informed decisions without needing to be taught how the industry works.

What You'll Be Responsible For

HVAC Dispatching & Service Operations

• Oversee daily scheduling and dispatching of HVAC service technicians.
• Understand the difference between demand service calls, maintenance visits, warranty calls, callbacks and installation appointments.
• Coordinate emergency calls, schedule changes, technician availability and customer expectations.
• Monitor jobs from booking through completion.
• Ensure technicians communicate findings, estimates, required parts and job status accurately.

HVAC Administrative Operations

• Manage customer records, service histories, estimates, invoices and job documentation.
• Coordinate equipment orders, supply house purchases and installation scheduling.
• Understand HVAC maintenance agreements and customer membership programs.
• Oversee estimate follow-ups, outstanding invoices and customer communication.
• Assist with warranty claims, equipment registrations, permitting coordination and job costing.
• Maintain accurate records in HVAC field service management software.

Customer Service & Team Leadership

• Supervise and coach customer service representatives and dispatchers.
• Ensure calls are answered professionally and appointments are booked accurately.
• Handle escalated customer concerns and service-related complaints.
• Monitor missed calls, unscheduled leads and outstanding customer follow-ups.
• Hold office staff accountable for performance, communication and follow-through.

Operations & Accountability

• Monitor daily booked calls, completed jobs, estimates, sales opportunities and revenue.
• Identify scheduling inefficiencies, lost opportunities and administrative bottlenecks.
• Develop and enforce standard operating procedures.
• Coordinate with ownership to improve efficiency, profitability and customer satisfaction.

REQUIRED Qualifications — Non-Negotiable

Applicants MUST meet ALL of the following:

• Minimum 3 years of administrative or operations experience employed directly by an HVAC service and installation company.
• Hands-on experience with HVAC dispatching, scheduling, customer service, invoicing, or service coordination.
• Working knowledge of HVAC service terminology, equipment replacements, maintenance agreements, warranty calls and repair workflows.
• Experience using HVAC field service management software such as ServiceTitan, Housecall Pro, Service Fusion, FieldEdge, or a comparable system.
• Previous experience leading office employees, coordinating service operations, or supervising dispatchers/CSRs.
• Ability to manage multiple service calls, technician schedules and customer priorities in a fast-paced environment.
• Strong communication, organizational, problem-solving and computer skills.

Preferred Qualifications

• Previous HVAC Office Manager, Service Manager, Dispatch Manager, or Operations Manager experience.
• Experience with ServiceTitan.
• Knowledge of HVAC supply houses, equipment ordering, permitting and warranty processes.
• Experience tracking HVAC performance metrics, job costing and revenue.
• Familiarity with Google Workspace, Excel/Google Sheets and QuickBooks.

Who Will Succeed Here?

Someone who has already worked behind the scenes at an HVAC company and understands what it takes to keep technicians productive, customers informed and jobs moving.

You should be comfortable answering questions such as:

• What do you do when a technician is running behind and has three more appointments scheduled?
• How do you prioritize a no-cooling call versus a routine maintenance appointment?
• What happens administratively between selling an A/C replacement and completing the installation?
• How do you follow up on an unsold HVAC repair estimate?
