This key role supports the daily operations and long-term success of both training programs, ensuring compliance with Accreditation Council for Graduate Medical Education (ACGME) requirements while fostering an exceptional educational experience for residents and fellows.
The Coordinator works closely with Program Directors, faculty, residents, fellows, medical students, and institutional offices. Through strong organization, collaboration, and attention to detail, this position helps drive program excellence, maintain regulatory compliance, and create a supportive learning environment that contributes to the development of future surgeons.
Key Responsibilities
Responsibilities include, but are not limited to:
- Partner with Residency and Fellowship Program Directors to coordinate daily program operations, implement policies and procedures, and support strategic goals and program improvements.
- Lead and coordinate major program activities, including recruitment, orientation, graduation, and internal review processes, while helping maintain accreditation standards.
- Manage all aspects of the resident and fellow recruitment process, including scheduling interviews, communicating with applicants, coordinating meetings, and ensuring compliance with application guidelines.
- Provide comprehensive administrative support for both programs, including managing correspondence, maintaining program records, handling inquiries, coordinating calendars, and assisting with residency training verification requests.
- Administer and maintain the New Innovations residency management system, including data management, reporting, demographic tracking, and user training for faculty, residents, and fellows.
- Develop and manage educational schedules, including lecture series, grand rounds, conferences, and special events, while coordinating with presenters regarding topics, scheduling, and audiovisual needs.
- Monitor and support compliance with departmental, institutional, and ACGME requirements, including duty hour reporting, evaluations, and oversight of outside professional activities.
- Track and maintain attendance records for required educational activities and ensure accurate documentation of participation.
- Maintain residency and fellowship curriculum materials, competency-based goals and objectives, and training manuals.
- Ensure accurate and complete documentation of resident and fellow procedural experience through ACGME Case Logs and New Innovations Procedure Logger.
- Prepare program documentation and materials for Graduate Medical Education (GME) internal reviews and accreditation-related activities.
- Maintain faculty and curriculum information within institutional databases that support evaluation and Mission-Based Management (MBM) reporting.
- Perform other duties and special projects as assigned to support the success of the residency and fellowship programs.

Monday – Friday
8:00 a.m. – 5:00 p.m.
Minimum Qualifications
A Bachelor's degree or an equivalent combination of education and experience and at least 2 years of experience from which comparable knowledge and skills can be acquired is necessary
Anticipated Hiring Range
Salary Range: $53,976 - $70,000 annually
Grade: GGS - 9E
