The Role
We are looking for a People Operations Specialist who will play a critical role in ensuring smooth and efficient employee lifecycle processes, from onboarding through offboarding, while maintaining accurate records and compliance with regulatory requirements. This role serves as a key point of contact for employee inquiries, supports HRIS operations and reporting, and partners cross-functionally to improve workflows, payroll coordination, and benefits administration. By maintaining organized systems, enhancing onboarding experiences, and ensuring timely completion of operational tasks, the specialist directly contributes to a positive employee experience and overall organizational effectiveness. Their work enables scalable people processes that support business continuity, compliance, and employee engagement.
Your Day-To-Day

Responsible for all operational Onboarding and Offboarding tasks; ie. Launches all people operations pre and post onboarding tasks; assigns new hire trainings; launches, monitors and reviews background checks and I9 verifications; drafting all operational Offboarding documentation and processing of required offboarding tasks; partners with the People Team on enhancements of the onboarding and offboarding processes

Responsible for processing all employee lifecycle changes and maintenance of employee records(i.e. onboarding, employee changes, promotions, job changes, professional development budgets, offboarding); Responsible for tracking all employee certifications within HRIS

Responds to employee inquiries providing direction as needed regarding HRIS systems, policies and procedures; Owns responding to all employment and income verifications timely and accurately; Maintains a high standard of confidentiality and professionalism in all employee communications

Owns Intranet and Employee-facing content as it pertains to Operations (ie. Labor Law postings, People Operations guides and Job Aids); Creates and maintains internal Job Aids for all operational processes/workflows; Assists with employee handbook updating

Partners with Payroll Manager and Senior Compensation Analyst to ensure the accurate processing of sign on bonuses, Hi5 bonuses, separation pay, patent awards and all other types of additional payments; Provides system configuration, testing and validation support to the Senior Compensation Analyst with annual merit processing.

Provides backup support to the Payroll Manager and Benefits Manager including but not limited to employee inquiries, benefit billing and reconciliations, deduction imports, troubleshooting, and continuous coverage and backup activities

Owns Guusto service anniversary award platform and responsible for initiating all employee retirement and anniversary awards

Responsible for ad hoc and regulatory compliance reporting (EEOC reporting, CA Pay Data) and other recurring data requests
About You

Bachelor's degree required OR an equivalent combination of education and relevant experience OR equivalent relevant experience and;

3-5 years experience in a People Operations and/or HRIS role

Proficiency in HRIS systems, including data management, reporting, troubleshooting, and process optimization

Strong knowledge of employee lifecycle processes, HR compliance requirements, and recordkeeping standards, with the ability to ensure accuracy and confidentiality across all People Operations activities

Demonstrated ability to handle highly sensitive information with discretion, sound judgment and a business-centric approach

Effective organizational and time management skills, with the ability to manage multiple priorities and meet deadlines while managing day-to-day requirements

Exceptional attention to detail, with the ability to manage complex data sets and compliance requirements

- Salary: $100,000 to $125,000*
