INTRODUCTION
Rehoboth Beach Country Club is hiring a morning Concierge!
Position: Club Concierge
Classification: Full-time, non-exempt
Schedule: Monday to Friday, 8AM-4:30PM
Salary range: $22.00-24.00 per hour based on experience
Location: Rehoboth Beach Country Club, 221 West Side Drive Rehoboth Beach, DE 19971
SUMMARY: The Club Concierge is responsible for facilitating communication and organization between the Executive Leadership, Board of Governors and all committees. Duties include coordinating all Board and Committee meetings, maintaining a master calendar of all Member and Staff meetings and meeting rooms, club activities, and directing both incoming and outgoing calls, emails, and letters.
ESSENTIAL FUNCTIONS
-
Prepares monthly meeting information, notices and other items for the Board of Governors meetings and Committee meetings.

Maintains a master calendar of all Member and Leadership meetings, commitments, member and non-member events in Outlook.
-
Ensure that meeting rooms are set as scheduled for Leadership, Committee and Board meetings.
-
Assists the Leadership team with preparation of presentation materials.
-
Maintains all Committee lists and assists the committee chairs in scheduling meetings and sending out the meeting notification and zoom links.
-
Assists with booking and coordinating Leadership travel itineraries for conferences, workshops, etc.
-
Operates a computer to enter, retrieve, review, or modify data; utilizes Microsoft Office, ForeTees, Jonas and other software programs at a high level of proficiency.

Answers phone calls for the Clubhouse, takes or relays messages, directs calls to the appropriate personnel. Makes and responds to phone calls when necessary.

Assists Members and their Guests in an efficient, courteous, and professional manner that maintains high standards of service and hospitality.

Responsible for the organization, ordering, and management of office storage and supplies.
-
Sorts and distributes incoming mail; prepares outgoing mail with necessary postage.
-
Operates a variety of equipment including copiers, fax machine, postage machine, coordinates repairs and maintenance of equipment with outside vendors.
-
Liaison for Club to the phone/printer company. Responsible for submitting tickets and coordinating site visits.
-
Assists the Membership & Communications Director with proofreading and editing communications before publication (i.e., monthly Newsletter, Member e-mail blasts, etc.).
-
Maintains the internal Club phone directory.
-
Acts as a member of the Club’s Emergency Response Team.
-
Assists with additional administrative tasks as needed.
MARGINAL FUNCTIONS

Assists with coordinating the Annual Reports and Annual Meeting details.
-
Coordinates details of all changes in Officers and Board Members annually.
-
Assists department managers with various projects as requested.
-
Supports and assists the business office and administrative staff on various projects.
-
Other duties as assigned by the supervisor.

Previous experience in an administrative position.
