Position Summary
Assists in the coordination and fulfillment of qualified participant communications materials including development of education and enrollment materials, project and timeline management, and oversight of requests by working directly with clients and/or internal associates to ensure achievement of client expectations.
Job Functions, Essential Duties and Responsibilities
- Manages all elements of creating, producing, and distributing employee benefit plan enrollment materials, including updating fund specific data and changes as they occur.
- Works with other departments to review employee benefit plan specifications and requirements necessary to complete the enrollment process. Pinpoints and assists in resolving any initial questions, issues, and problems by ensuring all information is stated correctly throughout all enrollment materials satisfying client expectations.
- Coordinates the preparation and delivery of completed enrollment kits to clients and/or employees prior to the start of an enrollment period and meetings.
- Coordinates large mass mailings by creating mail merge files using document templates and address spreadsheets for mass distribution (both electronic and hard copy).
- Monitors project tracking database including new project requests. Creates, maintains and/or updates reports to management on the status of project activity.
- Assists in the supervision of outside resources to ensure quality control and on-time delivery when necessary.
- Aids departmental management with all projects as needed. Coordinates details, creates records, tracks assignments, and follows up on replies relating to special projects as directed.
- Provides backup assistance when needed.
- Works under pressure to meet strict due dates/timelines; may work overtime with limited advance notice.
- Interacts and communicates clearly with all levels within the organization including senior management.
- Works in a fast-paced, dynamic environment with a high degree of urgency and accuracy.
- Regular, reliable, and punctual attendance.
- Responsible for protecting, securing, and proper handling of all confidential data held by Ascensus to ensure against unauthorized access, improper transmission, and/or unapproved disclosure of information that could result in harm to Ascensus or our clients.

Experience, Skills, Knowledge Requirements
- Minimum of 2 years of experience or equivalent combination of education and experience.
- Employee benefits industry experience required; retirement plan industry preferred.
- Demonstrated skills in conducting conference calls and dealing directly with clients.
- Must occasionally lift and carry packages of up to 40 pounds.
- May occasionally have to stand or sit for a long periods of time to perform day to day production.
- Bachelor’s degree in business is preferred.
- Microsoft Office, Adobe Acrobat, general database software experience preferred.
- Mass Email Software (GroupMail, HubSpot) experience preferred.
- Brainshark experience preferred.
- GoToMeeting/GoToWebinar experience preferred.
- Ability to multi-task while working.
- Must have organization, interpersonal, and verbal/written skills.
- Must be detail oriented, team player, and personable.
- Must be able to manage time, be a problem solver and analytical.
- Travel time up to 5%.
The national average salary range for this role is $22-25ph in base pay, exclusive of any bonuses and benefits. This base salary range represents the low and high end of the salary range for this position. Actual salary offered will vary and may be above or below the range based on various factors including but not limited to location, experience, performance, and internal pay alignment. We do not anticipate that candidates hired will begin at the top of the range however, from time to time, it may occur on a case-by-case basis. Other rewards and benefits may include: 401(k) match, Medical, Dental, Vision, Paid-Time-Off, etc.
For all virtual remote positions, in order to ensure associates can effectively perform their job duties with no distractions, we require an uninterrupted virtual workspace and there is also an expectation of family care being in place during business hours. Additionally, there is an internet work speed requirement of 25 Mbps or better for individual use.
