INTRODUCTION
To provide quality service to the students, faculty, administration, and general public who contact the Office of the University Registrar via telephone, email or mail, or in person. The position requires a thorough understanding and knowledge in the areas of university policies and general information, registration, academic records and course information.
In addition, this position requires an understanding of all other processes performed in the office in order to provide quality service.
PRIMARY RESPONSIBILITIES
- Processing requests for official academic transcripts for NKU students and alumni.
- Certifying of Undergraduate graduation for various academic departments.
- Audit academic records, as needed, and resolve Degree Verify inquiries, as needed.
- Supervision and customer service; serves as part of the service team in providing leadership in the service area of the office.
- Assists students with registrar services such as ordering academic transcripts, enrollment verification, address changes, demographic changes, registration, permits, catalog changes, graduation document collection/grades, deceased students, non-attendance. Directs students to appropriate staff who handle other issues such as academic renewal, transfer credit evaluation, financial assistance, residency, veterans’ benefits, etc.
- Assists student employees in the office who answer phone calls. Responds to inquiries from parents, faculty, staff, administrators and external agencies concerning university policies and procedures. Troubleshoots and resolves problems with class registration.
DATA MAINTENANCE:
- Data entry and processing requiring thorough understanding of multiple screens in SAP and their impact across the office and the computer system.
- Includes posting changes affecting the GPA and the academic record, processing changes of program, auditing academic records, monitoring reports and updating/correcting records as needed.
- Maintains thorough knowledge of current and historical university policies and procedures, applying appropriately and verifying that all change requests comply.
- Researches and answers questions regarding academic records to internal and external individuals and agencies.
- Requires a high degree of organizational ability, attention to detail and ability to proof own and others’ work. Assists with communication plans and outreach events.
- Maintains the office website including systematic and periodic quality control reviews.
SYSTEM REQUIREMENTS AND TESTING:
- Assists with defining data and system requirements for enhancement and/or new functionality in the SAP system. Participates in extensive testing in SAP during and after new or enhanced functionality implementation and during November and December each year when annual service packs are delivered by SAP.
- Identifies and helps resolve data problems and helps train the campus community on new and improved SAP functionality. Requires extensive technological skills pertaining to SAP, Microsoft Office Suite and other software used to complete daily tasks.
MINIMUM QUALIFICATIONS
Bachelor’s degree required and it is preferred that the degree be in a related field: MIS, CIS, Higher Education Administration or Leadership, Business, Communications, Counseling.
2 years of related experience required.
Excellent computer skills including but not limited to Microsoft Office Suites and SAP. Interpersonal communication skills, excellent use of English grammar and math skills.
The ability to analyze processes in order to improve efficiency.
