JOB SUMMARY:
Supports the Chief Operating Officer in overseeing daily operations, optimizing data workflows / data management, and supporting the COO to ensure that organizational processes run efficiently. This role blends operational coordination, data‑driven decision support, and cross‑departmental communication. It’s ideal for someone who thrives in fast‑paced environments and enjoys turning complex data operations into smooth, scalable processes / systems.
ESSENTIAL DUTIES
- Assists the COO in managing day‑to‑day operations and workflow execution.
- Supports the development and rollout of operational policies, SOPs, and process improvements.
- Works with Operations, Finance / Accounting, HR, IT, and other departments to support firm initiatives and priorities. Escalate issues when needed.
- Coordinates cross‑functional activities between data engineering / data processing, analytics, IT, and business units to ensure integrity across all departments.
- Tracks project milestones, deliverables, and dependencies. Maintain documentation for ongoing and completed projects.
- Assists with turning raw operational data from one or more systems into meaningful KPIs, summaries, dashboards, and/or performance reports.
- Compiles, clean, and analyze operational data to support decision‑making.
- Assists with preparing presentations, reports, and briefings for leadership meetings.
- Assists with monitoring data quality, processing timelines, and system performance metrics.
- Helps to identify bottlenecks and recommend data‑driven solutions.
- Drafts correspondence / internal communications, organize leadership meetings, prepare agendas, and record minutes / action items.
- Handles confidential information with discretion and professionalism.
- Supports special projects and adhoc tasks as assigned by the COO.
- All other duties as needed.
REQUIREMENTS
- Bachelor’s degree in business administration, management or related degree with 3-5 years’ experience. In lieu of degree, HS diploma or equivalent with 7-10 years’ experience. Strong analytical skills and comfort working with large datasets.
- Experience in operations, data processing, or executive support.

- Proficiency with data tools (Excel, SQL, BI dashboards, or similar).
- Comfort engaging with complex, non-routine problems that lack established playbooks.
- Interest in legal technology and assisting with data / software vendor communication to resolve problems and/or drive enhancements. Prior law firm experience a plus.
- Excellent organizational and multitasking abilities.
- Strong written and verbal communication skills.
- Ability to work independently and manage competing priorities.
- High attention to detail and a process‑oriented mindset.
