WHAT THIS ROLE WILL DO
- Provide daily support to the regional promoter, which includes but is not limited to:
- Schedule and calendar upkeep
- Communicate with the regional team in all departments (finance, production, marketing, talent, ticketing)
- Book travel and process associated reimbursements
- Heavy phone and email traffic
- Office ops schedule upkeep
- Research and prepare the leader for specialized meetings and industry functions
- Field general inquiries and redirect to the regional promoter as needed
- Manage monthly expense reports
- Research and prepare various high-level projects as needed (yearly business plan, annual reports, quarterly organization-wide presentations and events, etc.)
- Process ticket request forms
- Plan and execute off-site meetings, venue visits, and division events and retreats
- Provide general administrative duties, which include but are not limited to:
- Receive/sign for UPS/FedEx deliveries
- Prepare spaces for meetings, ordering materials, lunch, etc.
- Draft, issue, and execute artist contracts; review and execute third-party license agreements with regional venues
- Contribute to process improvements and operational efficiencies across the team
- Facilitate the booking process for the regional promoters’ venues
- Place holds and manage venue calendars
- Research artists’ market history and listenership
- Communicate show information with internal and external partners across key stages of the show lifecycle, including confirmations, announcements, on-sales, etc.
- Contract management
- Coordinate with the leader, finance, and legal to review expiring venue agreements prior to the renewal period.
- Provide support to the Finance team by submitting final finance reports for shows, completing monthly forecast reports, and managing all show files
- Develop and maintain venue one-sheets, region-wide information, and contact lists for presentations, proposals, and other deliverables.
- Some travel required
- Complete other duties as assigned
WHAT THIS PERSON WILL BRING
- Strong verbal/written communication, phone etiquette, computers (ROME, Microsoft Word, Excel, and PowerPoint), or similar programs.
- Ability to engage in positive interaction with co-workers, executives, and high-level industry professionals; prioritize, organize, problem solve, follow up, communicate, and diffuse possibly volatile situations with tact
- Ability to multitask daily, be organized, detail-oriented, self-driven, forecast issues, and handle last-minute projects to meet deadlines.
- Close attention to detail, especially in contracts, deal terms, and other financial documents.
- Proficient typing skills required (ability to type 60 wpm)
- A minimum of one year of experience as an assistant with industry-related experience
- Passion for live music
- High school diploma or associate’s degree required
