General Purpose
As a key member of the management team, the Business Manager I must ensure compliance with all company policies and procedures while using analytical skills to be a resource to the Distribution Center Management Team and Area Sales Functional Teams in a Tier I or II facility. The Business Manager I will provide administrative, financial support services and analysis for the operational and sales teams. They will also ensure accurate and timely internal administration and adherence to proper accounting and reporting procedures.
Duties and Responsibilities
Management Responsibilities include:
- Supervise administrative staff for the Distribution Center
Administrative Responsibilities:
- Review & ensure payroll is processed timely and accurately on a weekly basis
- Coordinate and support PAT (pricing exception) process as required by Regions
- Point of contact for Sales/Distribution Center office equipment (computers, copiers, faxes, printers, network, phones, etc.)
- Maintain building security card access system
- Coordinate all general administrative activities as necessary (reception, phones, supplies, etc.)
- Complete Fuel Tax reporting as necessary - Process new employee paperwork and facilitate New Employee Orientation
- Coordinate review of monthly and trimester incentive payments
- Coordinate monthly employee sale (where applicable)
- Cell phone administration
- Support and maintain the Track/Rank and Publish Board
- Assist the local sale team with coupon administration
- Assist with local team meetings (reports, meeting room set up, etc.)
Financial Responsibilities:
- Assist in the annual operating budget for the Distribution Center/Sales Operations
- Responsible for monitoring and collaborating with management in the analysis of monthly financial reports
- Assist in preparing month-end accrual entry as necessary
- Collaborate with Distribution Center and Functional Management to ensure the accuracy of Labor Reporting
- Assist in Accounts Receivable efforts including Sales Center Charge Backs, AR write offs, NSF Checks and support the mail check process for customer refunds
- Lead the analysis and resolution of all driver cash and product over & shorts
- Monitor Pre-settlement and Cashiering activities to ensure timeliness and accuracy
- Assist in Accounts Payable efforts when necessary
- Process A/P invoices in company preferred method
- Collaborate with management team on monitoring and controlling of operating expenses to include identification of savings
- Audit and monitor Comdata transactions
- Contract support Internal Controls Responsibilities
- Monitor the internal control environment compliance, identify gaps to Functional management teams and MU Finance Manager, and assist in remediation
- Maintain Internal Controls Checklist and communicate status to management
- Work with Field Control Auditors to manage the control environment
- Perform monthly/quarterly independent internal control audits
- Support the sampling/free goods process to ensure that there are proper internal controls
- Maintain legal and HR compliance postings
Qualifications
- Bachelor's Degree or equivalent business experience
- A minimum of 5 years’ experience in office administration with similar responsibilities.
- Familiarity with financial, payroll, expense reporting procedures and regulations is a must.
- Proficiency with Microsoft Office Suite (Excel, PowerPoint, Word, Outlook) and operating systems (navigating and exporting reports). Creating queries is preferred.
