SGD Enterprises dba Four Seasons Landscaping is seeking an experienced, highly organized, and hands-on Landscape Contract Project Manager to oversee one of our largest and most complex municipal landscape maintenance contracts in the City of Irvine.
This is a high-level operational position responsible for the overall performance, staffing, quality control, reporting, and day-to-day execution of the contract. The Project Manager will serve as the central point of accountability for the project and will work closely with company leadership, field supervisors, irrigation personnel, specialty crews, and City representatives to ensure that all contractual requirements are performed consistently, timely, safely, and to the exceptionally high standards expected by the City of Irvine.
This is not simply an administrative project-management position. The successful candidate must have extensive practical knowledge of commercial landscape maintenance and be capable of walking a property, identifying deficiencies, understanding the appropriate corrective action, directing crews, and verifying that the work has been completed correctly.
Position Overview
The City of Irvine contract encompasses a large portfolio of parks and athletic facilities with extensive turf, athletic fields, landscaped planter areas, irrigation systems, environmental services, specialized turf-management operations, fertilization, pest management, renovation work, and other technical landscape requirements.
Because of the size, complexity, visibility, and performance expectations of this contract, we are looking for a Project Manager who understands landscape maintenance at a professional level and can successfully manage both the people and the technical requirements necessary to deliver an exceptional product.
The ideal candidate will be someone who takes ownership of the project, anticipates problems before they become issues, maintains excellent communication with the City, and holds crews and supervisors accountable for consistently meeting contract specifications.
Key Responsibilities
- Assume overall responsibility for the successful performance of the City of Irvine landscape maintenance contract.
- Manage and oversee a large workforce consisting of mowing crews, landscape/detail crews, environmental crews, irrigation technicians, IPM personnel, athletic-field personnel, supervisors, and specialty turf-renovation crews.
- Develop and maintain weekly, monthly, seasonal, and annual work schedules to ensure that every contractual requirement is completed within the required service frequency and timeframe.
- Conduct frequent field inspections throughout the City to evaluate landscape quality, turf conditions, athletic fields, planter areas, irrigation performance, cleanliness, and overall contract compliance.
- Ensure that mowing, edging, detailing, pruning, fertilization, aeration, overseeding, topdressing, turf renovation, irrigation maintenance, pest-management operations, and other specialized landscape activities are performed correctly.
- Coordinate equipment, vehicles, materials, crews, and subcontractors so work is completed efficiently and without interruption.
- Work directly with supervisors and crew leaders to correct deficiencies and improve productivity and quality.
- Manage employee scheduling, attendance, staffing needs, productivity, training, discipline, and overall field performance.
- Ensure sufficient staffing and equipment are available at all times to meet the City's service requirements.
- Oversee specialized athletic-field and sports-turf maintenance, including reel mowing, aeration, verticutting, deep-tine aeration, topdressing, interseeding, turf renovation, fraise mowing, sod preparation, and related operations.
- Work closely with irrigation technicians to ensure irrigation systems are operating properly and repairs are completed promptly.
- Coordinate with subcontractors and vendors for specialized work and material deliveries.
- Review contract specifications regularly and ensure field operations remain in full compliance.
- Prepare, complete, review, and submit all reports, schedules, documentation, inspection records, work logs, service reports, and other information required by the City.
- Track corrective-action requests and ensure issues identified by the City are resolved quickly and documented appropriately.
- Attend meetings and site walks with City representatives and company leadership.
- Maintain professional and proactive communication with City staff.
- Monitor material usage, labor productivity, equipment utilization, and overall project efficiency.
- Assist company management with controlling project costs while never sacrificing the quality or contractual performance expected by the City.
- Ensure crews comply with all applicable safety requirements, company procedures, and City standards.
- Maintain accurate records relating to staffing, work performed, additional work, materials, equipment, and contract compliance.
- Recognize potential contractual issues or additional-work opportunities and immediately communicate them to company management.
- Take complete ownership of the project and ensure that issues are followed through from identification to final resolution.
Landscape Knowledge Is Essential
This position requires considerably more landscape expertise than a traditional project-management role.
The Project Manager must have a strong working understanding of areas including:
- Commercial and municipal landscape maintenance
- Sports-field and athletic-turf maintenance
- Reel and rotary mowing practices
- Turfgrass identification and management
- Fertilization programs
- Aeration, verticutting, overseeding and topdressing
- Turf renovation and establishment
- Shrub and groundcover maintenance
- Proper pruning techniques
- Weed identification and control
- Integrated Pest Management
- Irrigation troubleshooting and repair
- Irrigation controllers and water-management practices
- Landscape equipment and production capabilities
- Seasonal landscape requirements
- Crew productivity and manpower planning
- Landscape quality-control inspections
The Project Manager does not need to personally perform every technical task; however, they must understand the work well enough to recognize whether it is being performed properly and direct the appropriate personnel when it is not.
This is especially important because the City of Irvine maintains a very high standard for its parks, athletic fields, and public landscapes. The person in this position must have the experience and judgment necessary to recognize subtle quality issues before they develop into complaints or contractual deficiencies.
Qualifications
The ideal candidate will have:
- 5+ years of commercial landscape-management experience, preferably managing large municipal, institutional, sports-field, or multi-site landscape contracts.
- Significant experience managing multiple field crews and supervisors.
- Strong practical knowledge of landscape maintenance, turf management, irrigation, and plant material.
- Experience working with municipal contracts, public agencies, or detailed landscape specifications strongly preferred.
- Sports-turf or athletic-field experience strongly preferred.
- Strong organizational and scheduling abilities.
- Excellent written and verbal communication skills.
- Ability to read, understand, and implement detailed contract specifications.
- Strong computer skills and the ability to prepare professional reports, spreadsheets, schedules, emails, and other City-required documentation.
- Ability to manage a large number of simultaneous responsibilities without losing attention to detail.
- Strong leadership skills and the ability to hold employees accountable while maintaining a productive working environment.
- Ability to interact professionally with City representatives, employees, vendors, subcontractors, and company leadership.
- Valid California driver's license and acceptable driving record.
- Bilingual English/Spanish is highly desirable.
The Person We're Looking For
We are looking for someone who runs toward problems rather than waiting for someone else to identify them.
The right candidate should be comfortable spending significant time in the field, walking parks, speaking with crews, inspecting work, checking irrigation and turf conditions, and ensuring that the finished product meets expectations. At the same time, the individual must be organized enough to return to the office and ensure that schedules, reports, documentation, correspondence, and administrative requirements are handled accurately and on time.
This contract requires someone who can see both the big picture and the smallest details.
The Project Manager will have considerable responsibility and autonomy and will be expected to become intimately familiar with the contract, the individual park locations, the City's expectations, the personnel assigned to the project, and the equipment and resources available.
Success in this position means that the City should rarely need to tell us what needs to be done because our Project Manager and team have already identified it and addressed it.
