We are looking for a professional, organized, and motivated Office Administrative &
Accounting Specialist to join our team in Beaverton. This is an important role within our office,
supporting our customers, field team, contractors, vendors, and day-to-day project operations.
The ideal candidate is someone who is detail-oriented, dependable, computer-savvy, and
comfortable managing multiple responsibilities at once. You should have strong
communication skills and be confident working with QuickBooks, Excel, CRM systems,
customer accounts, project expenses, and vendor orders.
Being bilingual in English and Spanish is required for this position.
Key Responsibilities
● Calculate, track, and maintain accurate material expenses and project costs
● Coordinate projects and communicate directly with field technicians
● Schedule appointments with customers, contractors, and project personnel
● Manage and maintain accurate customer accounts and project records
● Assist with managing company and project accounts
● Assist customers with understanding available financing options
● Process material orders with vendors and suppliers
● Communicate with vendors regarding pricing, availability, orders, and deliveries
● Coordinate and schedule city permitting and assist with permit-related requirements
● Maintain accurate invoices, records, customer information, and project documentation
● Enter and maintain information within the company's CRM system
● Assist with billing, invoicing, payments, and accounting-related tasks
● Monitor project expenses and assist with accurate job costing
● Communicate professionally with customers, contractors, vendors, field technicians, and
city offices
● Provide general administrative and operational support to management
Qualifications & Skills
● Bilingual English/Spanish — Preferred
● Previous experience in office administration, accounting, bookkeeping,
construction administration, or project coordination is preferred
● Experience with QuickBooks; QuickBooks certification is highly preferred
● Strong proficiency with Microsoft Excel
● Experience working with CRM systems
● Strong computer skills and ability to learn new software quickly
● Excellent organization and time-management skills
● Strong attention to detail and accuracy
● Professional written and verbal communication skills
● Ability to manage multiple projects, appointments, and deadlines
● Strong customer-service and problem-solving skills
● Ability to work independently while also being a strong team player
● Comfortable working in a professional in-office environment
