Overview

Northwest Rheumatology Associates is seeking a dependable, detail-oriented Medical Assistant – Telephone & Clinical Support (MA-TCS) to join our team. This is primarily a desk-based position focused on patient telephone communication, electronic inbox management, prescription refill processing, clinical message coordination, and communication between patients, providers, pharmacies, laboratories, hospitals, imaging centers, and other healthcare facilities. This position is ideal for a person who is highly organized, communicates well, and can manage a high volume of work quickly and accurately while keeping patient safety at the center of every task.

This position is full-time (40 hours per week) on site, Monday through Friday. Hours to be determined.

Duties

· Manage patient telephone calls, voicemails, portal messages, and electronic clinical inboxes throughout the day.

· Gather and accurately document patient concerns and relevant clinical information.

· Use SBAR (Situation, Background, Assessment, Recommendation/Request) when communicating clinical concerns to providers.

· Identify urgent or time-sensitive patient concerns and promptly escalate them to the appropriate provider or clinical staff.

· Process prescription refill requests according to established clinic protocols.

· Verify medication information, pharmacy information, required laboratory monitoring, and applicable medication requirements before processing refill requests.

· Coordinate communication with physicians, pharmacies, laboratories, hospitals, imaging centers, and other healthcare facilities.

· Obtain, process, scan, upload, fax, and appropriately route medical records, laboratory results, imaging reports, and other clinical documents.

· Maintain complete, timely, and accurate documentation in the patient’s medical record.

· Follow assigned tasks and patient concerns through to resolution or appropriate handoff.

· Maintain patient confidentiality and comply with HIPAA and clinic policies.

Requirements

· Exceptional attention to detail and accuracy.

· Excellent professional telephone and written communication skills.

· Ability to remain calm and professional when communicating with upset or frustrated patients.

· Strong follow-through and personal accountability.

· Ability to recognize when a concern requires prompt provider attention.

· Good working knowledge of medications, medical terminology, prescription refill workflows, and laboratory monitoring.

· Ability to follow established protocols and recognize when clarification is needed.

· Strong teamwork and communication with providers and clinical staff.

· Proficiency with electronic medical records, electronic inboxes, faxing, scanning, and electronic documentation.

Patient Safety & Scope of Practice

Patient safety is a primary responsibility of this position. The MA-TCS is expected to work accurately and efficiently, verify information carefully, appropriately prioritize patient needs, and promptly escalate clinical concerns.

Medical Assistants do not independently diagnose, interpret results, provide medical advice, or recommend changes to a patient’s medication or treatment plan. Questions requiring clinical assessment or medical advice are documented and routed to the appropriate provider.

Qualifications

• Bachelor’s degree in a medical or healthcare-related field or at least five years of experience as a Medical Assistant.
• Strong verbal communication and interpersonal skills, with the ability to communicate clearly, professionally, and compassionately with patients over the phone.
• Demonstrated ability to communicate relevant case information accurately and with physicians and other members of the healthcare team.
• Medical scribe experience is a plus.
