Job Description
The Commercial Operations Specialist supports proposal development, commercial coordination, purchasing activities, CRM data quality, reporting support, and general operational workflow management across the business. This role is designed to improve consistency and responsiveness across bid and proposal support, material purchasing coordination, document and folder management, PO tracking, reporting, and ad hoc operational support activities. The ideal candidate is highly organized, detail-oriented, process-driven, and comfortable working across multiple teams in a fast-paced environment.

Your work will directly support stronger proposal execution, improved commercial process consistency, better system data integrity, and more effective coordination across commercial and delivery teams.
What You’ll Actually Do
- Coordinate proposal intake and ensure required information is complete before work begins.
- Support development of RFQs, RFPs, quotations, and Statements of Work through document coordination, formatting, compilation, and submission readiness.
- Establish and maintain proposal folder structures, document libraries, templates, and version control practices.
- Coordinate standard NDA signature workflows and internal approval routing and track open items through completion.
- Maintain quality, completeness, and accuracy of opportunity and project data in SFDC and other applicable business systems.
- Support adoption and consistent use of proposal and commercial tools, templates, and standard work practices.
- Coordinate material purchasing activities in support of proposal and project needs.
- Process purchasing requests and ensure requests are properly documented and routed.
- Maintain purchasing logs and provide visibility to stakeholders on material status.
- Coordinate with vendors, factory teams, and internal stakeholders to resolve issues, delays, or gaps.
- Provide ad hoc reporting, data gathering, workflow follow-up, and general administrative support as needed.
- Contribute to continuous improvement initiatives that improve proposal quality, data integrity, operational visibility, and process efficiency.
Required Qualifications
- Bachelor’s degree in engineering (Electrical, Mechanical, Industrial, or related field preferred).
- Minimum of 3 years of experience in commercial operations, proposal support, project coordination, purchasing support, sales operations, or administrative operations in an industrial, manufacturing, engineering, or consulting environment.
- Strong writing and communication skills. The ability to explain and document complex technical concepts and requirements simply and clearly.
- Experience building and/or interpreting proposals, quotes, SOWs, RFQ/RFP.
- Strong organizational skills with the ability to manage multiple priorities and deadlines.
- Experience coordinating across cross-functional teams, including commercial, technical, operations, or delivery stakeholders.
- Strong attention to detail and commitment to data accuracy and process consistency.
- Leveraged SAP to manage end-to-end purchasing activities, including vendor coordination, PO lifecycle tracking, and documentation control, ensuring high data accuracy and operational visibility.
- Proficiency with Microsoft Office applications, including Excel, Word, PowerPoint, and Outlook.
- Proficiency with MS Office; experience with Smartsheet, Salesforce (or equivalent CRM), and/or ERP tools preferred.

For candidates applying to a U.S. based position, the pay range for this position is between $79,100.00 and $131,900.00. The Company pays a geographic differential of 110%, 120% or 130% of salary in certain areas. The specific pay offered may be influenced by a variety of factors, including the candidate’s experience, education, and skill set.
Bonus eligibility: discretionary annual bonus.
