We’re currently looking for a highly organized and detail-oriented Construction Assistant Administrator to support our project managers and office team.
Job Summary:
The Construction Assistant Administrator will play a key role in supporting the day-to-day administrative operations of the construction office. This position is ideal for someone who thrives in a fast-paced environment, has excellent communication skills, and enjoys working in the construction industry.
Key Responsibilities:
- Provide administrative support to project managers and office staff
- Assist with preparing, reviewing, and tracking contracts, change orders, RFI’s, submittals and purchase orders
- Maintain organized project files and documentation (physical and digital)
- Track and follow up on RFIs, submittals, and project deadlines
- Coordinate with subcontractors and vendors to ensure timely delivery of materials and documents
- Schedule meetings, inspections, and job site visits
- Manage office communications including emails, phone calls, and mail
- Assist with invoicing and payment tracking as needed
- Perform general office duties such as data entry, filing, and supply ordering
Qualifications:
- High school diploma or equivalent required; Associate’s or Bachelor’s degree preferred
- Previous administrative experience in construction or related industry is a plus
- Strong organizational and time management skills
- Excellent written and verbal communication skills
- Proficient in Microsoft Office (Word, Excel, Outlook) and/or construction management software (e.g., Procore, Bluebeam, Sage, or similar)
- Ability to multitask and prioritize in a fast-paced environment
- Strong attention to detail and problem-solving abilities
