Job Description:

We are seeking an experienced Office Manager to support the administrative and project-support operations of our growing construction company. This position will serve as a central point of coordination between leadership, project managers, accounting, field teams, subcontractors, vendors, and clients.

The ideal candidate is highly organized, proactive, comfortable managing multiple priorities, and preferably has experience working for a general contractor, specialty contractor, construction manager, engineering firm, or similar project-based organization.

Key Responsibilities

• Manage day-to-day office and construction administrative activities.
• Establish and maintain organized project files and project-startup documentation.
• Track contracts, subcontracts, purchase orders, COIs, W-9s, and subcontractor/vendor documentation.
• Maintain permit, license, insurance, bonding, certification, and renewal trackers.
• Support PMs with project documentation, submittals, RFIs, correspondence, and administrative tracking.
• Coordinate billing backup, payment requisition documentation, lien waivers, and related follow-up.
• Track administrative status of change orders and executed agreements.
• Support MWBE/SDVOB compliance, prequalification, and client/agency documentation.
• Coordinate project closeout documentation, warranties, as-builts, O&M materials, and final paperwork.
• Maintain meeting agendas, action-item logs, calendars, deadlines, and management follow-ups.
• Coordinate employee onboarding/offboarding and basic office/HR administration.
• Help identify and improve recurring administrative processes.

Qualifications

• 5+ years of office, project-administration, or administrative-management experience.
• Construction industry experience strongly preferred.
• Familiarity with construction documentation and workflows, including contracts, COIs, subcontracts, POs, billing support, and closeout.
• Strong Microsoft Office skills and ability to learn project/document-management systems.
• Excellent organization, follow-through, written communication, and attention to detail.
• Ability to manage multiple projects and deadlines simultaneously.
• Professional discretion when handling confidential information.
• Comfortable working in a fast-moving, entrepreneurial construction environment.

The successful candidate will help SASCO create a more organized and reliable administrative operation, improve project and corporate documentation, maintain visibility of critical deadlines and follow-ups, and reduce routine administrative work currently being handled by company leadership and Project Managers.

Pay: $60,000.00 - $70,000.00 per year
