Inside Sales / Customer Service Representative
About the Role We are seeking a collaborative and detail-oriented Inside Sales and Customer Service Representative to join our team. In this role, your primary focus will involve accurately processing orders and effectively resolving customer issues. You will play a crucial part in supporting our outside sales department through exceptional customer service while maintaining high-quality relationships with our existing accounts. We are looking for an individual who thrives in a team environment and is dedicated to driving customer satisfaction.
Key Responsibilities
- Develop maximum sales potential by applying strong customer service techniques and comprehensive knowledge of our products and services.
- Efficiently process customer information and respond to inquiries or complaints in a diplomatic, tactful manner.
- Build and maintain positive, quality relationships with both customers and Heritage Millwork (HMI) staff.
- Accurately calculate prices, discounts, and quotations to meet specific customer requirements efficiently.
- Process customer sales orders into the computer system, ensuring appropriate anticipated ship dates, customer purchase order numbers, and special instructions are entered, while sending acknowledgements to customers for approval.
- Contact customers directly to obtain any missing information or data to guarantee complete and accurate orders.
- Trace and expedite backorders to ensure total customer satisfaction.
- Research, locate, and provide quotes for non-inventoried products to fulfill unique customer requests.
- Work directly alongside our shipping and production departments to ensure products are delivered in a timely manner.
- Obtain necessary literature, price books, and resources to ensure you are properly prepared to answer customer inquiries or quote requests.
- Assist in training new Customer Service Representatives as requested, and perform other related duties as assigned.
Qualifications & Skills
- Education & Experience: High school diploma or general education degree (GED) required, alongside four to six years of related experience and/or training.
- Communication: Exceptional oral, written, and technical communication skills with a strong aptitude for diplomacy, professionalism, and negotiation. You must be able to speak effectively before groups of customers or employees and write routine reports or correspondence.
- Technical Proficiency: Strong computer literacy, including knowledge of word processing, spreadsheet, accounting, inventory, internet, order processing, and manufacturing software.
- Math & Reasoning: Strong math aptitude with the ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages. Ability to apply common sense understanding to carry out instructions and solve problems involving several concrete variables in standardized situations.
- Organization: Highly organized with strong planning and filing skills. Must have the ability to read and interpret documents like safety rules, procedure manuals, and operating/maintenance instructions.
Pay: $24.00 - $28.00 per hour
