Job Summary
The Office & Operations Coordinator is responsible for supporting the day-to-day administrative and operational functions of Doctor’s Lawn & Landscape while helping drive efficiency, organization, and process improvement across the company.
This position combines administrative coordination with operational systems management and will play a key role in maximizing the use of Aspire and other company technology. The ideal candidate is highly organized, detail-oriented, technologically proficient, and comfortable managing multiple processes while working collaboratively with various departments.
This role will serve as an important connection point between administration, operations, sales, and field teams to ensure information is accurate, processes are followed, and administrative workflows are completed efficiently and consistently.
Essential Responsibilities: Aspire & Systems Management
- Serve as a primary administrative resource for Aspire and assist departments with system-related questions and processes.
- Maintain and manage Aspire inventory records and related administrative functions.
- Maintain the company item catalog, including adding, updating, organizing, and standardizing items.
- Assist with CRM management and ensure customer and project information is accurate and up to date.
- Monitor and maintain data integrity within Aspire.
- Assist with implementation and adoption of new Aspire features and processes.
- Identify opportunities to improve the company’s use of technology and automation.
Work Ticket & Administrative Management
- Oversee end-of-month work ticket processes and ensure required information is completed accurately and timely.
- Review work tickets for completeness and coordinate with appropriate departments regarding outstanding items.
- Assist with administrative reporting and month-end processes.
- Maintain organized records and documentation related to operational activities.
- Identify recurring administrative issues and recommend solutions.
Process Improvement
- Evaluate existing administrative processes and identify opportunities to improve efficiency, consistency, and accountability.
- Assist in developing and documenting standard operating procedures.
- Help implement new systems, processes, and technology throughout the organization.
- Coordinate the implementation of additional services and processes through Aspire, including SMS/customer communication services.
- Work with department leaders to identify administrative bottlenecks and develop practical solutions.
Office & Administrative Coordination
- Coordinate general office operations and administrative needs.
- Assist with scheduling, communications, correspondence, and documentation.
- Maintain organized digital and physical records.
- Support management with reports, data collection, and special projects.
- Coordinate information between company locations and departments.
- Assist with company meetings, events, and internal communications as needed.
Customer & CRM Support
- Assist with maintaining accurate customer records and CRM information.
- Support customer communication processes and ensure information is properly documented.
- Assist with customer follow-up and administrative requests as needed.
- Help ensure customer-related information flows accurately between sales, operations, and administration.
Communications & Marketing Support
- Assist with internal company communications and employee announcements.
- Support basic social media and communications initiatives as assigned.
- Assist with coordinating marketing-related information, schedules, and administrative needs.
- Maintain accurate information across applicable company platforms.
Qualifications
- 2+ years of administrative, operations, office coordination, or related experience preferred.
- Strong computer and technology skills with the ability to learn and manage multiple software platforms.
- Experience with CRM or business management software preferred.
- Experience with Aspire or similar landscape/business management software is a plus.
- Strong organizational and time-management skills.
- Excellent attention to detail and accuracy.
- Strong written and verbal communication skills.
- Ability to manage multiple priorities and meet deadlines.
- Ability to work independently while also collaborating effectively with multiple departments.
- Strong problem-solving and critical-thinking skills.
- Comfortable identifying inefficiencies and recommending process improvements.
