Job Summary
We are looking for a bilingual English/Spanish Operations Administrative Assistant to support our daily operations and communication with customers, drivers, warehouses, and transportation partners.
The ideal candidate is organized, responsible, detail-oriented, and comfortable communicating with people by phone, email, and messaging platforms. This position will primarily assist with daily operational coordination, follow-ups, scheduling, and communication.
Key Responsibilities
Communicate with customers, drivers, warehouses, and transportation partners in English and Spanish.
Make and receive phone calls to coordinate daily operations and resolve routine operational issues.
Send and respond to emails regarding shipments, deliveries, pickups, schedules, and other operational matters.
Communicate with drivers and transportation companies regarding pickup and delivery arrangements.
Follow up on shipment status, delivery appointments, PODs, and other required documents.
Coordinate with warehouses and customers to confirm pickup and delivery information.
Monitor daily operational activities and follow up on pending issues.
Maintain accurate records and update shipment and operational information in company systems.
Assist the operations team with administrative tasks, data entry, document preparation, and filing.
Communicate operational updates and issues to management in a timely manner.
Perform other administrative and operational duties as assigned.
Qualifications
Fluent in English and Spanish — both verbal and written communication skills are required.
Previous experience in office administration, logistics, transportation, customer service, or operations is preferred.
Strong communication and interpersonal skills.
Comfortable making phone calls and communicating with drivers, customers, and business partners.
Good email writing and professional communication skills.
Strong organizational and follow-up skills.
Detail-oriented and able to manage multiple tasks at the same time.
Proficient in Microsoft Office, including Outlook, Word, and Excel.
Ability to work independently and as part of a team.
Reliable, responsible, and willing to learn.
Preferred Qualifications
Experience in the logistics, freight, trucking, warehouse, customs brokerage, or transportation industry.
Familiarity with shipment tracking, PODs, delivery appointments, and transportation coordination.
Chinese language skills are a plus but not required.
Pay: $3,500.00 per month
