Position Summary
The Team Operations Coordinator is responsible for supporting the effective operation of a cross-functional team by coordinating events, managing team-level logistics and providing structured visibility into people availability, travel, and engagement activities. This role serves as a key operational support function, ensuring consistency, clarity, and efficiency in how the team operates on a day-to-day basis.
The Team Operations Coordinator works closely with program leadership, team members, and partner functions to enable smooth execution of meetings, events, and operational rhythms while maintaining appropriate governance and communication standards.
Key Responsibilities
Team Operations & Administrative Coordination
- Coordinate and manage team calendars, recurring meetings, workshops, offsites, and leadership sessions.
- Support planning and execution of onboarding sessions, milestone events, and engagement activities.
- Maintain operational documentation, schedules, trackers, and reference materials.
Event Planning & Execution
- Plan and execute internal events, including agendas, logistics, meals, materials, and follow-ups.

People Availability & Operational Visibility
- Maintain high-level visibility into planned PTO, travel, and extended absences.
- Provide forward-looking coverage awareness to leadership.
- Maintain accurate shared tracking tools (without approval authority).
Travel & Logistics Support
- Coordinate logistics for team travel related to meetings and workshops.
- Serve as a central point of coordination for travel-related planning questions.
Communication & Continuous Improvement
- Act as a primary contact for operational inquiries.
- Communicate schedules, expectations, and updates clearly and professionally.
- Identify process improvements and support standardization efforts.
Required Qualifications
- Bachelor’s degree in Business Administration, Operations Management, Communications, or related field (or equivalent experience).
- 3–5 years of experience in operations coordination, program coordination, or administrative support roles.
- Experience supporting cross-functional teams.
- Strong organizational and time-management skills.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft 365 tools (Outlook, Teams, Excel, SharePoint).
- Ability to handle sensitive information with discretion.
Preferred Qualifications
- Experience supporting transformation, PMO, or enterprise programs.
- Experience in hybrid or distributed teams.
- Experience coordinating events or leadership meetings.
- Familiarity with basic resource or capacity tracking.
Role Scope Clarification
This role is an operational coordination and enablement role. It does not include people management, approval authority, or HR partnership responsibilities. The focus is on execution, visibility, and coordination.

For this U.S. based position, the expected pay range is USD 86,400 - USD 129,600 per year. This pay range includes base pay and short-term incentives. The compensation range for this full-time position applies to candidates located within the United States. Our pay ranges are determined by reviewing roles of similar responsibility and level. Within the pay range, individual pay is determined by several factors including performance, knowledge, job-related skills, experience, and relevant education or training.
