Job Summary:
The Operations Project Coordinator supports the successful execution of operational initiatives across the Woodhouse network by coordinating projects, managing timelines, supporting new spa openings, and partnering with cross-functional teams. This role ensures projects are organized, completed on time, and aligned with Woodhouse standards while driving operational consistency and continuous improvement.
Primary Responsibilities:
Project Management & Operations
- Coordinate operational projects from planning through execution.
- Develop project plans, timelines, and track deliverables.
- Support the VP of Operations by coordinating priorities, monitoring progress, and following up on action items.
- Collaborate across departments to improve processes and operational efficiency.
- Maintain project documentation, resources, and operational standards.
Training & Event Coordination
- Coordinate logistics for Brand Ambassador and New Franchise Training, including travel, meeting space, reservations, materials, and participant resources.
- Support operational meetings, training, and special events as needed.
Vendor & Retail Operations
- Support retail and vendor initiatives, including POS product setup, SKU maintenance, merchandising support, and special projects as needed.
Operations Administration
- Maintain the Operations team calendar and department schedules.
- Coordinate meetings, documentation, reports, and shared operational resources.
- Support additional operational initiatives and special projects as assigned.
- Organize and execute gift card look up program
Experience, Skills and Abilities:
- Project management experience, organization, and time management skills with the ability to manage multiple priorities and meet deadlines.
- Excellent communication, collaboration, and relationship-building skills across cross-functional teams and vendor partners.
- Detail-oriented, proactive, and solutions-focused with strong ownership, accountability, and follow-through.
- Adaptable and professional, with the ability to thrive in a fast-paced environment and drive continuous improvement.
- Proficient in Microsoft Office and project management software (Asana preferred).
- Experience in hospitality, retail, franchise, or multi-unit operations preferred.
Compensation:
The salary range for this role is $60,000-$70,000 annually, commensurate on experience. This role is bonus-eligible and is based on company and individual performance; all bonuses are subject to board and CEO approval.
