Position Summary
The Patient Care Coordinator is an essential part of our clinic, serving as the first point of contact for patients and helping ensure the day-to-day operations run smoothly. This role combines customer service, appointment scheduling, administrative support, and patient communication.
We're looking for someone who is proactive, detail-oriented, personable, and comfortable balancing multiple responsibilities throughout the day. The ideal candidate enjoys interacting with people and takes pride in creating a positive patient experience.
Key Responsibilities
Patient Communication & Customer Service
- Greet patients and provide a warm, welcoming front desk experience.
- Answer incoming phone calls and respond to patient emails and text messages.
- Assist prospective patients with questions about our services and the process of getting started with physical therapy.
- Communicate appointment reminders, scheduling updates, and necessary patient information.
- Provide friendly, professional customer service while maintaining patient confidentiality.
Appointment Scheduling & Clinic Coordination
- Schedule new patient evaluations and follow-up appointments.
- Manage provider calendars and coordinate appointment availability.
- Assist with cancellations, rescheduling, and appointment reminders.
- Help maintain an organized daily schedule and communicate changes to the clinical team.
- Track patient visits, packages, and follow-up scheduling needs.
- Help ensure the front desk and patient areas remain organized and welcoming.
Administrative & Billing Support
- Maintain accurate patient information within the electronic medical record (EMR) system.
- Assist with collecting payments and processing transactions.
- Help prepare superbills and provide general administrative billing support.
- Organize patient forms, records, and other administrative documents.
- Assist with email management, filing, and general office organization.
- Support occasional clinic projects, community outreach, and other administrative tasks as needed.

Healthcare experience is a plus, but we are open to candidates with strong customer service, administrative, or organizational skills who are eager to learn.

Hours & Availability
