About Us: Job Summary:

Miller Electric is seeking a highly organized Project Administrative Assistant to support the project management team on a large construction project. The primary focus of this position will be the administrative processing, documentation, and tracking of project change orders from initiation through completion.

This role will work closely with Project Managers to collect required information, prepare and maintain change-order documentation, enter and update changes within customer and company systems, and ensure records remain accurate and current. The position will also provide general project-site administrative support as needed and work alongside the existing project administrative team. #miller #LI-JJ1

*This role is starting as part-time but has the potential to be full-time in the future*

Essential Duties & Responsibilities:

• Coordinate with Project Managers and the existing administrative team to support day-to-day project needs.
• Assist with document control, data entry, and general construction administrative tasks.
• Maintain and track change orders from initiation through completion.
• Collect required information and supporting documentation from Project Managers.
• Prepare and update change-order documentation, logs, and supporting records.
• Track pending items, approvals, and required follow-ups.
• Maintain organized and accurate electronic project files.
• Update project logs, trackers, forms, and other required documentation.

Qualifications:

Required

• High School Diploma required
• 2 plus years of experience in onsite construction administrative support required
• Proficient in MS Office, Autodesk, AIA SOV’s, and certified payroll required
• Reliable transportation required

Preferred experience

• Coins ERP Software
• Textura Billing Software
• Owner Direct Purchasing experience
• JSEB experience
• Notary for the state of Florida

Work Environment:

• Position is based in a field office trailer located on a large, high profile construction site in downtown Jacksonville.
• Requires adaptability to a dynamic environment with frequent interaction with field personnel and project managers.
• Must be comfortable working in close proximity to ongoing construction activities, including noise and outdoor conditions.
• Occasional walking on uneven surfaces and adherence to all site safety protocols is required.
