Job Summary
- Serves as the first point of contact for the FIU Online People team. Acts as a liaison between FIU Online current and prospective employees and the Division of Human Resources.
- Serves as the first point of contact for HR related questions, issues, and/or concerns from FIU Online staff and prospective employees, escalating to the appropriate parties when necessary.
- Serves as a HR liaison between FIU Online and the Division of Human Resources ensuring that the department is aware and informed of any changes in processes or procedures.
- Assists the HR & Operations Manager in preparing for all new position interviews.
- Posts new positions in relevant platforms to increase outreach.
- Manages FIU Online HR email inbox and communicates with potential candidates, including sending interview confirmations and expectations, as well as answering general HR questions.
- Prepares, maintains, and organizes FIU Online HR communication templates, records, and SharePoint folders.
- Participates in interviews as a moderator and HR representative for part time and full time positions.
- Ensures that new hires are ready to begin prior to their start date, including coordinating with the appropriate units and internal teams as well as the new hires on necessary equipment, access, and important information.
- Follows termination processes appropriately. Notifies Employee and Labor Relations, submits separation forms, updates internal systems with termination dates, coordinates with the internal teams on equipment retrieval and access removal.
- Monitors the FIU Online and University time reporting systems on a monthly basis and ensures discrepancies are fixed.
- Submits electronic personnel action forms (ePAFs) and electronic position request forms (ePRFs) under the direction of the HR & Operations Manager and Director of People and Programs.
- Monitors reports relevant to FIU Online HR, including Visa Report, Temporary Employment Expiration Report, Student Graduation Report, PEP Report, Time Off Discrepancy Report. Communicates with HR & Operations Manager and leadership on report statuses.
- Remains current in Human Resource industry trends.
- Serves as an University card user for departmental transactions. Adheres to University credit card policies and procedures.
Minimum Qualifications
Bachelor's degree and two (2) years of office or related experience providing administrative support, or coordinating functions of an office or department; OR six (6) years of office or related experience; OR an equivalent combination of relevant education and/or experience.
Desired Qualifications
- Degree in Business, Human Resources or related field
- General HR Knowledge in the areas of recruitment and performance management is desirable
- Experience with Human Resources Information Systems (HRIS)
- Experience with PeopleSoft
