Role Summary:

Help Swan Electric project teams stay organized and keep work moving. As a Project Coordinator, you will maintain project records, enter approved information, track documents and deadlines, and follow up with the people responsible for the next step. Your accuracy and follow-through help PMs, APMs, and field teams work from current information.

Key Responsibilities:

Set up and update project information. Enter approved data, check required fields, and keep records organized in company systems.

Keep documents current. Track drawings, RFIs, submittals, changes, and correspondence; route them for review and distribute approved versions.

Follow up on deadlines. Maintain action lists, request missing information, and flag overdue items to the project team.

Support project transactions. Collect and route purchasing documents, delivery records, invoices, and billing backup through approved processes.

Coordinate meetings and closeout. Organize meetings, record actions, and collect manuals, warranties, as-builts, and other turnover documents.

What You Bring:

Strong organization, attention to detail, clear communication, and reliable follow-through. Comfort with spreadsheets, documents, data entry, and learning new software. You check your work, ask questions when information is unclear, and manage competing requests professionally.

Administrative, coordination, accounting-support, or purchasing-support experience is preferred. Entry-level candidates with demonstrated practical skills are welcome. Construction experience is helpful; prior project-management experience is not required. High school diploma or equivalent required; no specific college degree or trade license required.

How the Role Works:

Report to the Project Director and support assigned PMs and APMs. You own administrative accuracy and follow-up; they own technical content, pricing, forecasts, and project decisions. You receive system training, clear priorities, and feedback as you learn the work.

Work Environment and Growth:

Primarily office-based work supporting multiple projects, with jobsite visits, travel, or schedule adjustments as assignments require. Build construction knowledge and coordination skills, with opportunities for broader responsibility and potential APM development based on interest, capability, and business needs.
