We are seeking a detail-oriented and deadline-driven Pursuit / Proposal Coordinator to lead and support proposal efforts for public and private sector opportunities. This role is responsible for coordinating, writing, and producing compelling, compliant responses to RFPs, RFQs, SOQs, and other pursuit-related materials in support of our civil engineering and surveying services.

Responsibilities: Proposal & Pursuit Management
- Coordinate end-to-end proposal development for government and private sector pursuits, including RFPs, RFQs, SOQs, and interview materials
- Develop proposal schedules, outlines, and compliance matrices to ensure all requirements are met
- Facilitate kickoff meetings and manage inputs from technical staff, project managers, and leadership
- Track pursuit progress, deadlines, and deliverables across multiple concurrent proposals
Writing & Content Development
- Write, edit, and refine proposal narratives, resumes, project descriptions, and executive summaries
- Translate technical information into clear, client-focused, and persuasive messaging
- Ensure proposals reflect the firm’s brand voice, differentiators, and win themes
- Proofread and quality-check all materials for clarity, consistency, grammar, and compliance
Graphics & Production Coordination
- Collaborate with graphic designers or marketing staff to develop layouts, infographics, and visual elements
- Prepare final proposal packages for digital and hard-copy submission, including formatting, file assembly, and uploads
- Ensure adherence to agency-specific submission platforms and requirements
Content & Process Management
- Maintain and update proposal content libraries, resumes, project sheets, and boilerplate materials
- Assist in post-pursuit debriefs, lessons learned, and continuous improvement of proposal processes
Required Qualifications
- Bachelor’s degree in Marketing, Communications, English, Journalism, or a related field (or equivalent experience)
- 2+ years of experience in proposal coordination, marketing, or pursuit support—preferably in the AEC, engineering, construction, or professional services industry
- Strong writing, editing, and proofreading skills
- Experience working with RFPs, RFQs, or formal proposals
- Exceptional organization and time-management skills with the ability to manage multiple deadlines
- Proficiency in Microsoft Word, PowerPoint, and the Adobe Suite (InDesign, Acrobat)
Preferred Qualifications
- Experience in civil engineering, surveying, construction, architecture, or related technical fields
- Familiarity with government procurement processes and public agency proposals
- Experience with CRM or proposal management software (e.g., Deltek, OpenAsset, Cosential, etc.)
- Basic understanding of graphic design principles and proposal layout
- Experience supporting interview preparation or presentation development
