Position Overview
The Human Resources Operations Coordinator is responsible for coordinating the administrative and logistical aspects of KANA's hiring process from job posting through onboarding. This role manages recruitment workflows, coordinates candidate communications, maintains applicant tracking and HR information systems, and ensures every step of the hiring process is completed accurately, efficiently, and on time.
Working closely with hiring managers and the Human Resources team, this position helps deliver a positive candidate experience while supporting recruitment operations, compliance, and continuous process improvement.
Key Responsibilities
- Coordinate recruitment activities from requisition through onboarding
- Manage job postings across multiple recruitment platforms, ensuring accuracy and timely updates
- Schedule interviews, coordinate calendars, prepare interview materials, and facilitate virtual and in-person interviews
- Serve as the primary point of contact for candidates throughout the hiring process, providing timely communication and exceptional customer service
- Track candidate progress through the Applicant Tracking System (ATS) and ensure recruitment activities remain on schedule
- Coordinate pre-employment requirements, including background checks, drug screenings, and required employment documentation
- Partner with hiring managers and HR staff to ensure new hire onboarding activities are completed before each employee's start date
- Maintain accurate records within the ATS and Human Resources Information System (HRIS), ensuring compliance with documentation and record retention requirements
- Monitor recruitment workflows, identify process bottlenecks, and recommend operational improvements
- Coordinate candidate travel arrangements for site visits, including itineraries and travel logistics
- Assist with recruitment outreach, candidate sourcing, and promotion of employment opportunities
- Support the development and maintenance of HR policies, job descriptions, directories, and recruitment resources
- Provide backup support to other Human Resources functions as needed
Qualifications
- Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred
- Minimum two years of experience in human resources, recruitment coordination, administrative support, or a related field
- Experience supporting recruitment, applicant tracking systems (ATS), or HRIS platforms preferred
- Healthcare recruitment or healthcare human resources experience preferred
- Strong organizational skills with the ability to manage multiple priorities and competing deadlines
- Excellent written and verbal communication skills
- Exceptional customer service skills and the ability to build positive relationships with candidates, hiring managers, and coworkers
- High attention to detail and commitment to maintaining confidentiality
- Proficiency with Microsoft Office applications, including Outlook, Word, and Excel
- Current SHRM-CP, SHRM-SCP, or Certified Staffing Professional (CSP) certification preferred, or the ability to obtain certification within two years of hire
Work Schedule
KANA's standard work schedule is 37.5 working hours per week, consisting of 7.5 paid working hours per day plus a one-hour unpaid lunch break (8.5 hours on site per day).
