Sandia National Laboratories is seeking a SNL-CA based Administrative Support Associate to join our Executive Protocol and Strategic Engagements team. The successful candidate will play a vital role in supporting high-profile distinguished visitors (DVs) and strategic engagements hosted by our Executive Leaders. This role requires professionalism, initiative, and the ability to succeed in a fast-paced environment, handle multiple logistics and priorities concurrently, collaborate with stakeholders, be able to receive and respond to feedback professionally, and champion innovation to support Sandia's goals and objectives.

On any given day, you may be called on to:

• Assist with coordination of high-level distinguished visits and SNL-CA specific events.
• Provide protocol support to Sandia's External Review and External Advisory Boards.
• Serve as a security subject matter expert on policies and processes for all levels of DoE and DoD clearances, badging, and accesses required for all activities supported by the Office of Executive Protocol and Strategic Engagements (EPSE).
• Serve as a liaison between the EPSE Office and internal, DoE, and DoD security organizations.
• Handle, disseminate, and dispose of sensitive personal information.
• Support Protocol Officers by managing the coordination of numerous fast-paced visits and events with complex logistics. This support includes:
• Comprehensive pre-planning - badging, base access, vault access, coordination of day-of tasks
• Seamless day-of execution - badging, escorting, catering, room set up (table tents, agendas, food, beverages), transportation, and other critical details as needed. These tasks require lifting, bending, twisting, pushing, and pulling.
• Partner with the Division 8000 executive office to support non-Protocol meetings, events, and visits, as needed.
• Support the EPSE team in designing processes to enhance workflow.

Ability to safely lift more than 35 lbs with or without assistance, bend, twist, push, and pull.

This position will require occasional travel to the SNL-NM site.

Due to the nature of the work, the selected applicant must be able to work onsite in Livermore, CA.

$57,800 - $106,000

• Salary range is estimated, and actual salary will be determined after consideration of the selected candidate's experience and qualifications, and application of any approved geographic salary differential.

• High school diploma plus three (3) or more years of directly related experience, or equivalent combination of education and experience.
• Experience with the following:
  • Computer-based applications Excel, Word, and Outlook.
  • Work with highly personal and sensitive information.
  • Interface, in a professional manner, with all levels of staff and management, and high-level distinguished visitors and various stakeholders.
  • Organize, prioritize, and follow through to completion on multiple tasks, often under strict deadlines, frequent interruptions, and competing priorities.
• Active DOE Q-level security clearance or equivalent (e.g., DOD Top Secret).

• Deep understanding of SNLs Enterprise Person (EP) database and the process for allowing visitors access onto SNL property.
• Experience performing ambiguous assignments under critical time constraints independently or as part of a team.
• Ability to effectively work and collaborate in a team environment under pressure.
• Ability to interact with all levels of internal and external personnel, including the ability to network and build effective working relationships with multiple stakeholders.
• Ability to think outside the box and develop streamlined processes and procedures.
• Demonstrated ability to organize, prioritize, and follow through to completion on multiple tasks.
• Experience working in a fast-paced, politically sensitive environment.
• Experience meeting customer/project needs that result in overtime and/or working flexible hours (including weekends).
• Ability to independently resolve issues and problems while completing a task.
• Experience working distinguished level events in a corporate, government, or non-profit setting.

The Office of Executive Protocol and Strategic Engagements holds a commitment to ensuring efficient planning and effective execution of protocol expertise for Distinguished Visitor (DV) visits and strategic events in New Mexico and California to highlight Sandia's mission and achievements.

Position requires a Department of Energy (DOE) Q security clearance to start, or equivalent active security clearance with another U.S. government agency (e.g., DOD). Sandia is required by DOE directive to conduct a pre-employment drug test and background review that includes checks of personal references, credit, law enforcement records, and employment/education verifications. Applicants for employment need to be able to maintain a DOE Q-level security clearance, which requires U.S. citizenship.
