Position Summary:
The Senior Executive Assistant provides high-level administrative and executive support to the Chief Financial Officer (CFO) and designated senior Finance leaders (VP level). This role operates at the enterprise leadership level and is responsible for enabling the effectiveness of the CFO and Finance leadership team through proactive coordination, advanced administrative management, and trusted handling of highly sensitive financial, operational, and strategic information.
This position requires exceptional judgment, discretion, and anticipatory thinking in a fast-paced and highly visible environment. The Senior Executive Assistant serves as a key partner to Finance leadership, ensuring seamless alignment of priorities, communications, governance activities, and executive operations.
Executive & Strategic Support
- Serve as the primary administrative partner to the CFO and designated Finance leaders, enabling focus on strategic and financial priorities
- Proactively manage complex calendars across multiple senior leaders, balancing internal priorities, external stakeholders, and critical Finance deadlines (e.g., close cycles, Board reporting, audit and forecasting schedules)
- Anticipate executive needs and independently resolve scheduling, logistics, and coordination challenges
- Prepare executives for meetings by coordinating briefing materials, financial reports, agendas, and follow-up actions
Communication & Stakeholder Management
- Act as a liaison between the CFO/Finance leadership and executive leadership team, Board members, auditors, investors, and external partners
- Draft, edit, and manage executive-level communications with accuracy, clarity, and discretion
- Exercise sound judgment in handling confidential financial, operational, and organizational information
Meeting, Board & Governance Support
- Coordinate Finance leadership meetings, executive reviews, Board and committee meetings (including Finance and Audit Committees), and investor-related engagements
- Coordinate development, consolidation, and distribution of Board and committee materials, ensuring accuracy, version control, and adherence to deadlines
- Track action items and ensure timely follow-up on key financial, operational, and governance priorities
- Support audit, compliance, and regulatory processes through coordination of documentation, logistics, and deliverables
Operational & Administrative Leadership
- Manage CFO and Finance leadership travel arrangements aligned with business priorities and cost efficiency
- Support expense reporting and administrative workflows for Finance leadership
- Coordinate timelines and logistics across core Finance cycles, including monthly/quarterly close, forecasting, annual budgeting, audit activities, and Board reporting
- Identify opportunities to improve executive support workflows and administrative processes within Finance
- Provide guidance and support to other Executive Assistants supporting Finance leaders, promoting consistency and best practices
Special Projects & Financial Operations Support
- Support Finance-led and enterprise-wide initiatives, including strategic planning, annual budgeting cycles, and operational improvement efforts
- Conduct research, synthesize financial and operational data, and prepare executive-ready summaries and materials
- Support cross-functional initiatives involving Finance and other business units to ensure alignment and execution
Change Management & Process Improvement
- Support Finance leadership through organizational change, system implementations (e.g., financial systems, planning tools, reporting platforms), and transformation initiatives
- Ensure clarity, structure, and communication during periods of change or high operational demand
- Contribute to continuous improvement of executive support and Finance operational workflows
Required Education and Experience
8+ years of experience as an Executive Assistant, including direct support to C-suite or senior executive leaders (CFO or Finance leadership preferred)
- Demonstrated ability to operate with a high degree of autonomy, judgment, and discretion, particularly with sensitive financial information
- Exceptional organizational, communication, and time-management skills
- Proven experience managing highly complex calendars and competing priorities across multiple senior stakeholders
- Experience supporting financial operations, Board processes, or audit-related activities preferred
- Advanced proficiency with Microsoft Office (particularly Excel and PowerPoint) and collaboration tools
Knowledge, Skills and Abilities
- Strong executive-level operational acumen with the ability to independently manage priorities and anticipate needs in a fast-paced Finance environment
- Strong business and financial acumen with ability to understand financial concepts, reporting structures, and executive-level discussions
- Exceptional organizational and coordination skills with the ability to manage multiple concurrent workstreams and deadlines with precision
- Strong interpersonal and stakeholder management skills, with ability to interact effectively with executives, Board members, auditors, and external partners
- Excellent written and verbal communication skills, including the ability to draft, edit, and synthesize executive-level materials
- Proven ability to build collaborative relationships across Finance, Executive Leadership, and external stakeholders
- Advanced proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint) and enterprise collaboration tools and financial systems
- Strong problem-solving skills with a proactive, solutions-oriented mindset and ability to anticipate issues before they arise
- Ability to remain composed, professional, and effective in high-pressure, time-sensitive, and confidential situations
- Basic project coordination skills, including tracking deliverables, managing timelines, and ensuring follow-through across stakeholders
- Commitment to operational excellence, consistency, and continuous improvement within executive support functions
Compensation Range:
$70,000.00 - $98,000.00
This range offers an estimate based on the minimum job qualifications. However, our approach to determining base pay is comprehensive, and a broad range of factors is considered when making an offer. This includes education, experience, skills, and certifications/licensures as they directly relate to position requirements; as well as business/organizational needs, internal equity, and market-competitiveness.
