POSITION OVERVIEW

Rockhill Management, L.L.C. (“Rockhill”) is searching for a Tenant Coordinator to support the management of a class-A office tower. This role reports to the Property Manager.

Responsibilities

- Act as first point of contact for management office and Amenity Center
- Answer and direct all calls coming into the management office’s main line
- Provide direct administrative support to management staff and engineers including ordering supplies, maintaining files, producing and distributing forms, etc.
- Oversee and calculate all tenant billings including utilities, work orders, purchases, and miscellaneous service requests
- Coordinate building, tenant, and outside user group events, working with vendors and facilitating room setups, catering orders, and other event details
- Communicate with building tenants and vendors
- Maintain online work order and visitor entry software
- Coordinate tenant move-ins and move-outs, including loading dock and freight reservations
- Maintain proper documentation for Certificates of Insurance for both tenants and vendors
- Ensure all invoices for the property are coded and processed in a timely manner
- Conduct daily review of tenant requests, working with building staff to resolve issues in a timely manner
- Assist with scheduling contractor work throughout the building and accurately communicate impact to tenants
- Maintain and provide daily project activity reports to security team
- Manage reservations for Amenity Center and order supplies as needed
- Coordinate Fitness Center activities as needed and in conjunction with fitness manager
- Other related duties as needed

QUALIFICATIONS

- Experience in commercial real estate/property management preferred
- Excellent written and oral communication skills
- Ability to use discretion and a high level of professionalism
- Critical thinking
- Customer service oriented
- Must possess superb organizational skills with the ability to multi-task and prioritize duties

LOCATION

The position is based in Boston, MA.

ANNUAL SALARY RANGE

The annual salary for this role is expected to be in the range of $60,000 - $68,000 and is determined by several factors, including but not limited to, experience, education, and expertise.
