INTRODUCTION
This position is being filled through OU's PEAK Temporary Staffing Service. It is estimated to last until September 2026.
The Veteran Student Services (VSS) office streamlines the GI Bill® certification process for the Norman Campus and tracks military-connected students through key stages of their academic journey, including recruitment, admission, retention, and graduation. VSS also oversees critical administrative functions such as VA benefit compliance for audits, adherence to accreditation and approval regulations, management of scholarship funding through the Sooner Veteran Support Foundation, and the development of corporate and private partnerships. The VSS Administrative Assistant plays a vital role in supporting these efforts by providing frontline assistance to veteran students and their families. This position is responsible for managing communications, maintaining accurate records, and ensuring compliance with federal regulations. Additionally, the Administrative Assistant supports daily office operations, assists with VA educational benefits processing, and serves at the front desk to minimize interruptions for School Certifying Officials (SCOs).

Responsibilities Include:
Reception & Communication:
- Serve as the front desk administrative assistant to reduce SCO interruptions.
- Answer phone calls using the standard greeting “Veteran Student Services.”
- Respond to inquiries from students and parents regarding VA benefits.
- Return messages and respond to emails using approved templates.
- Greet and assist walk-in visitors using iAdvise check-in.
- Provide residency reclassification instructions.
- Collect and scan Certificates of Eligibility (COEs) and other documents.
VA Benefits Processing:
- Process and scan incoming VA mail and apply appropriate labels.
- Distribute VA postal mail to the Bursar Office.
- Complete rolls identifying VA Electronic Fund Transfers.
- Assist in preparing Laserfiche course confirmation forms for certification.
Compliance & Reporting:
- Maintain accurate VA student files in Laserfiche.
- Support audits and compliance surveys by the Department of Veterans Affairs.
- Stay current on federal VA regulations.
- Complete annual training for read-only access to VA Enrollment Management.
Clerical & Administrative Duties:
- Perform general clerical tasks (filing, copying, faxing, scanning, mailing).
- Operate standard office equipment and run campus errands.
- Type labels, forms, and correspondence.

Follow safety practices and assist in training student workers.

Perform all other duties as assigned.
Job Requirements
Required: High School Diploma or GED; AND:
One (1) year of general office, clerical, and/or administrative support-related experience.
Required Knowledge, Skills, Abilities:
- Proficient in Microsoft Office
- Detail oriented for accuracy of data and information
- Highly organized
- Ability to produce reports
- Ability to multitask and meet deadlines in a timely manner
Physical Working Conditions:
Sit for prolonged periods. Communicate effectively. Engage in repetitive motion. Use of computer, calculator, and telephone.
Environmental Working Conditions:
Standard office environment.
