WHY YOU'LL LOVE THIS JOB
- This job is a member of the Workforce Administration Team within the Technical Operations Division.
- Responsible for providing administrative support for Tech Ops represented team members and its leadership group.
- Collaborating with a cohesive group in a busy office setting, ensuring the success of the Workforce Administration team.
- Audit, analyze and prepare various department reports, including weekly headcount reports and monthly projection reports.
- In depth understanding of all aspects of payroll, using Workbrain payroll system; including time coding and shift schedules.
- Proffer and process overtime, field trips, shift swaps and holiday equalization according to the rules and limitation of the collective bargaining agreement and the Workbrain system.
- Process vacation changes according to leadership directions, the guidelines outlined in the contract agreements and the Workbrain system.
- Providing excellent service to our internal customers; including phone, email, and walk-in inquiries.
- Liaison between various airport personnel, local leadership and team members.
- Train and assist with onboarding new administrative center team members.
- Contribute and assist with project initiatives, to include implementation of new systems, tasks and methods to front line employees, leaders and administration center team members.
- Submits transactions for computer and system accesses.
- Sort, track and file data and correspondence.
- Process time-sensitive requests.
- Efficiently and effectively communicate to high levels leadership to address operational inquiries.
- Must fulfill FAA criminal background checks to qualify for unescorted access privileges to airport security identification display area (SIDA), if applicable.
- Must be able to secure appropriate airport authority and/or US customs security badges, if applicable.
- May be required to work shifts, nights, weekends and holidays.
- Must be willing to travel as required for professional development.
MINIMUM QUALIFICATIONS
- High School diploma or GED equivalent.
- At least 1 year of prior administrative experience.
- Intermediate experience with Microsoft Office software including Word, Excel, PowerPoint etc.
PREFERRED QUALIFICATIONS
- 3 years experience in an office setting.
- 1 year experience with unionized workforce.
- Associates degree or equivalent work experience.
- Previous experience with analyzing data to improve processes and facilitate operational excellence.
SKILLS, LICENSES & CERTIFICATIONS
- Knowledge of the applicable workforce collective bargaining agreements (IAM/ TWU).
- Broad understanding of Workbrain or other time and attendance applications.
- Ability to prepare correspondence and format reports.
- Ability to maintain confidentiality with team member files, payroll data and personal information.
- Ability to prioritize and organize work functions effectively.
- Ability to exercise good judgement and work under time constraints with professionalism, efficiency, patience and tact.
- Ability to work individually or with a team.
