Overview
Serves as a key operational partner to the Senior Manager, Finance Systems & Automation. This role drives the coordination, planning, and execution of finance systems and process improvement initiatives. Facilitates cross-functional collaboration across Finance, Accounting, IT, FP&A, and Billing Operations - ensuring projects are structured, stakeholders are aligned, meeting cadences are maintained, and action items are tracked through to completion. This role also plays a critical part in building and maturing the team's PMO framework, enabling greater project agility, governance, and transparency.
Responsibilities
Leadership and Direction
- Support the Senior Manager in planning and executing finance systems initiatives by maintaining project structure, timelines, and accountability.
- Serve as the coordination hub for cross-functional stakeholders across Finance, IT, Accounting, FP&A, and Billing Operations.
- Champion the development and adoption of PMO standards, templates, and governance practices that improve project agility and delivery consistency.
- Facilitate effective meeting cadences - scheduling, preparing agendas, capturing notes, and ensuring action items are assigned and followed up.
At the Operational and Company Level
- Demonstrate and ensure conformance with company philosophy, policies, and procedures.
- Develop and maintain a centralized project registry for active finance systems and automation initiatives, including status, ownership, and milestones.
- Build and manage PMO tools, templates, and workflows that standardize how projects are initiated, tracked, and closed.
- Coordinate with IT, Finance, and Accounting teams to align on project dependencies, resource availability, and delivery timelines.
- Communicate project status, risks, and blockers clearly to the Senior Manager and relevant stakeholders.
- Identify process gaps and recommend improvements to strengthen project execution and governance.
Do the Work
- Schedule and facilitate stakeholder meetings; prepare agendas, capture detailed meeting notes, and distribute action item summaries with owners and due dates.
- Build and maintain project plans, status trackers, and dashboards that provide real-time visibility into initiative progress.
- Proactively track open action items across projects, following up with owners to ensure timely completion.
- Draft project charters, scope documents, and communication materials for finance systems initiatives.
- Support change management efforts by coordinating training schedules, documentation updates, and stakeholder communications during system implementations.
- Maintain PMO documentation libraries including process maps, RACI matrices, meeting records, and lessons learned logs.
- Assist with system testing coordination, UAT scheduling, and issue tracking for ERP, FP&A, and automation platform projects.
- Complete other ad hoc project coordination and administrative tasks as requested by Finance leadership.

- Solid understanding of PMO methodologies, project lifecycle, and governance frameworks.
- Comfort operating in a fast-paced, evolving environment with limited direction.
- Collaborative mindset with a strong bias toward transparency and stakeholder alignment.
- High attention to detail and commitment to documentation accuracy and completeness.
- Curiosity about finance systems, automation, and process improvement - no deep technical expertise required, but genuine interest expected.
QUALIFICATIONS
- Bachelor’s degree in Business Administration, Finance, Information Systems, or related field required.
- Five or more (5+) years of experience, with at least three (3+) years of experience in project management, business operations, or a related coordination role.
- Demonstrated experience building or operating within a PMO or structured project governance environment preferred.
- Experience supporting finance, accounting, or business systems initiatives strongly preferred.
- Proficiency in project management tools such as Microsoft Project, Asana, Monday.com, or equivalent platforms.
- Strong working knowledge of Microsoft 365, including Teams, SharePoint, and Excel.
- Familiarity with Power Automate, Power BI, or similar tools a plus.
- PMP, CAPM, or equivalent project management certification preferred but not required.
- Experience working in or alongside IT, ERP, or Finance systems projects a plus.
