Your Role
A highly organized team player who will be responsible for overseeing the day-to-day operations of the office and ensuring that the facilities are well-maintained and running smoothly. This role requires a proactive individual who can handle multiple tasks simultaneously and has a strong understanding of office management and facility maintenance. The successful candidate will have excellent organizational and communication skills, a keen eye for detail, and the ability to work independently as well as part of the team.
Your Impact
- Act as the front-of-house ambassador, greeting employees and visitors warmly, providing concierge-style support and ensuring a professional guest experience.
- Oversee daily office operations and ensure proper functioning of office utilities and services.
- Coordinate maintenance and repair of office equipment and facilities.
- Liaise with vendors and service providers for office and facility needs.
- Coordinate with the building management and contractors for any facilities-related issues.
- Monitor and manage office cleaning and maintenance services.
- Monitor and manage all admin/facilities-related inventories to ensure continuous replenishment of supplies and place orders when necessary.
- Manage incoming and outgoing mail and courier services.
- Manage visitor/applicants access and provide assistance onsite.
- Coordinate office communications from drafting up to sending out (e.g. internal announcement).
- Provide assistance on employee engagement activities from planning, coordination, and execution.
- Oversee and respond to Facilities Helpdesk tickets.
- Provide general administrative support to staff and management.
- Contribute to team effort by assisting with special projects as needed.
Your Experience
- With 1-2 years of experience as an Office and Facilities Administrator or similar role ideally in a global organization
- Strong organizational and multitasking skills
- Excellent in written and verbal communication and interpersonal abilities
- Proficiency in MS Office (Word, Excel, Outlook)
- Familiarity with health and safety regulations
- Ability to work independently and as a part of a team
