Construction Accounts Receivable Specialist
Phoenix Pipelines Inc. is a well-established underground wet utilities subcontractor serving the Greater Phoenix area. We are committed to quality, teamwork, and continuous improvement. We are looking for a motivated and detail-oriented Construction Accounts Receivable Specialist to join our accounting team.
Position Summary
The Construction Accounts Receivable Specialist is responsible for managing project billing, collections, lien waivers, payment applications, and customer accounts in a fast-paced construction environment. This position works closely with Project Managers, customers, subcontractors, and the accounting team to ensure accurate and timely billing, collections, and project documentation.
Key Responsibilities
· Prepare and process monthly progress billings, change orders, retainage invoices, and support billing packages.
· Post billings, approved change orders, and related accounting transactions in Sage 300 CRE.
· Monitor accounts receivable aging, maintain collection logs, and follow up on outstanding customer payments.
· Prepare, track, and collect conditional and unconditional lien waivers/releases.
· Coordinate with Project Managers to ensure accurate contract values, billing quantities, and change orders.
· Set up new projects, contracts, and insurance information within the accounting system.
· Maintain organized project accounting files and documentation.
· Reconcile customer accounts and vendor statements when necessary. Assist with month-end closing.
· Assist with light office administration duties, including greeting visitors, answering and routing incoming phone calls, handling incoming mail and deliveries, and supporting day-to-day office operations as needed.
Qualifications
· Minimum of 2 years of Accounts Receivable experience, preferably in the construction industry.
· Experience with progress billing, retainage, change orders, collections, lien waivers/releases, and construction contract administration.
· Experience with Sage 300 CRE preferred. Experience with Adobe Acrobat and Intermediate to advanced Microsoft Excel skills
· Strong organizational, time management, and problem-solving skills.
· Excellent verbal and written communication skills, bilingual is preferred
· Ability to manage multiple priorities while maintaining a high level of accuracy.
Ø Competitive hourly compensation: $21.00–$25.00 per hour, depending on experience and qualifications.
Ø Full-time, Monday–Friday, in-office position.
While performing the duties of the job, the employee is regularly required to stand and sit for long periods of time, talk, hear, and use hands and fingers to operate computer keyboard and telephone. Specific vision abilities required by this job include close vision requirements due to computer work. Light to moderately lifting is required.
