About A2Z Millwork Design
A2Z Millwork Design LLC is an AWI Gold Partner millwork drafting and design firm with 130+ team members across Austin, Texas; Windsor, Ontario; and India. We produce shop drawings, engineering, and CNC-ready files for architectural millwork manufacturers, general contractors, and design firms across North America.
Our Austin office is small, fast-moving, and growing. This role sits at the center of it.
About the Role
This is a blended role for someone who can keep an office running and open new doors. You will handle day-to-day administration, cover the front desk during business hours, and spend a meaningful portion of your week on outbound business development — calling, emailing, and connecting with millwork manufacturers, GCs, and architects.

What You'll Do
Administration (approx. 40% of time)
- Maintain digital and physical filing: project folders, contracts, NDAs, insurance certificates, W-9s
- Prepare and format proposals, quotes, invoices, and client correspondence
- Track and follow up on outstanding invoices and purchase orders
- Coordinate calendars, meetings, and travel for leadership
- Order office supplies, manage vendor accounts, and handle basic bookkeeping data entry
- Maintain accurate records in the CRM and keep project trackers current
- Support onboarding logistics for new team members
Reception (approx. 20% of time)
- Greet visitors, clients, and vendors and manage the front desk during core hours
- Answer, screen, and route incoming calls professionally
- Manage the general inbox, mail, and courier/shipping activity
- Keep the reception area, conference rooms, and common areas presentable
- Set up meeting rooms and handle refreshments for client visits
Business Development & Marketing (approx. 40% of time)
- Make outbound calls (30–50 per day) to prospective millwork manufacturers, general contractors, and architectural firms
- Build and maintain prospect lists using LinkedIn Sales Navigator, industry directories, and construction bid platforms
- Run LinkedIn outreach: connection requests, personalized messaging, and follow-up sequences
- Execute email marketing campaigns — build lists, draft and schedule sequences, track opens/replies, and follow up on engaged leads
- Qualify inbound and outbound leads and book discovery calls for the leadership team
- Log every touchpoint in the CRM and maintain a clean, current pipeline
- Report weekly on calls made, connections, emails sent, replies, and meetings booked
- Support marketing activity: trade show coordination, mailers, and basic social media posting
What We're Looking For
Required
- 2+ years in an administrative, receptionist, inside sales, or business development role
- Confident, clear phone presence — comfortable making cold calls daily and handling rejection
- Strong written English; able to draft a professional email without hand-holding
- Proficiency with Microsoft Office (Outlook, Word, Excel) and Google Workspace
- Working knowledge of LinkedIn for professional outreach
- Highly organized, self-directed, and able to switch between tasks without losing the thread
- Authorized to work in the United States
- Reliable on-site attendance in Austin, TX
Preferred
- Experience in construction, millwork, cabinetry, architecture, interior design, or building products
- Hands-on experience with a CRM (HubSpot, Zoho, Salesforce, Pipedrive, or similar)
- Experience with email marketing platforms (Mailchimp, Apollo, Instantly, Lemlist, or similar)
- Familiarity with LinkedIn Sales Navigator
- Basic bookkeeping or QuickBooks exposure
