Position Summary
Brooklyn LAB is seeking an exceptional Executive Assistant to the Chief Executive Officer to provide high-level executive and administrative support to the CEO while serving as a key operational partner across various aspects of our organization. This highly visible position requires exceptional judgment, professionalism, discretion, and organizational excellence. The Executive Assistant serves as the primary coordinator of the CEO’s daily operations—protecting the CEO’s time, managing communications, anticipating needs, and ensuring priorities move forward efficiently. In addition, this individual provides critical administrative and logistical support to student recruitment and enrollment efforts, helping ensure prospective families experience a welcoming, responsive, and well-organized admissions process. The ideal candidate thrives in a fast-paced environment, is proactive rather than reactive, demonstrates outstanding customer service, and consistently executes with accuracy and attention to detail.
Responsibilities
Executive Support
- Manage the CEO's calendar, inbox, and correspondence — prioritizing time-sensitive matters and exercising judgment on access and scheduling
- Serve as first point of contact for internal/external stakeholders; coordinate meeting logistics, agendas, materials, and follow-up (including Board and leadership meetings)
- Prepare reports, presentations, and briefing materials; track organizational priorities and deadlines to ensure timely completion
- Coordinate travel and event logistics; anticipate executive needs and proactively solve problems
- Maintain strict confidentiality and professionalism at all times
Special Projects & Enrollment Support
- Support the Student Recruitment and Enrollment Team with data management, document collection, and enrollment tracking
- Write and manage follow-up on grant proposals
- Help plan and execute organization-wide events (Open Houses, info sessions, enrollment campaigns, beginning/end-of-year events)
- Support marketing, communications, and family engagement initiatives
Organizational Support
- Coordinate cross-functional communication across departments and maintain organized filing systems
- Identify and implement improvements to office systems and administrative processes
- Take on additional projects and duties as assigned in support of Brooklyn LAB's mission
Qualifications
Required
- Bachelor's degree preferred; equivalent experience considered
- 3+ years of executive administrative support experience
- Exceptional organizational, communication, and project management skills
- Advanced proficiency in Google Workspace and Microsoft Office
- Sound judgment, discretion, and ability to manage confidential information
Strongly Preferred
- Experience in education, nonprofit, or mission-driven organizations
- Experience supporting executive leadership or governing boards
- Familiarity with student information systems, enrollment platforms, or CRM tools

Compensation The salary range for this position is $65,000 - $80,000, commensurate with experience and education.
