Description:
Westwood Professional Services, Inc. is seeking an ambitious and talented professional to join our team as a Power Distribution Project Coordinator. This is an opportunity to join Westwood’s highly experienced team dedicated to providing high-level engineering design services to our clients. This position will be impactful to the growth of our power delivery business, the power distribution service group, and will be an opportunity for individuals to grow their career from a focus on project controls to project management, client account management, and future business development. This role is highly cross-functional; working closely with project managers, finance, engineering teams, and subconsultants.
This role will be responsible for developing, maintaining, and managing project control systems across cost, schedule, risk, reporting, and document management. This role ensures that project managers and leadership have timely, accurate, and integrated information to make informed decisions.
Requirements
- Utilize established project systems and processes including Vantagepoint, Jira, Power BI, IronClad, and Avetta.
- Responsible for supporting Accounts Receivable (AR) collections, client electronic invoicing systems, and portal setups.
- Support the development, monitoring and maintaining of budgets and forecasts. Including tracking actual vs. planned spend.
- Support the development, monitoring and maintaining of project schedules. Including tracking actual vs. planned progress.
- Develop consolidated monthly/weekly project reports.
- Manage project contract documentation, task orders, and change orders while maintaining strict version control and audit-ready records.
- Ensure project controls standards, templates, and processes are followed and support project managers in reviews of this compliance.
- Support client meetings through development of minutes of the meeting and action item notes upon request from Project Manager.
- Support the management of subconsultants with respect on on-boarding, project progress, risk management, and compliance with Westwood requirements.
- Collaborate with the department management to develop, evaluate, and implement new policies and procedures which reflect best engineering practices.
- Track and assist with municipal agency permitting, environmental reviews, utility easements, and Right-of-Way (ROW) access approvals.
- Coordinate material procurement tracking, validate Bills of Materials (BOMs), and monitor long-lead equipment delivery schedules (transformers, switchgear, poles).
- Support the administrative tracking of joint-use pole attachments, utility clearances, and outage request schedules.
Skills and Qualifications:
- Associate’s or Bachelor’s degree in Project Management, Business Administration, Engineering, Construction Management, Finance, or related field.
- General familiarity with power distribution concepts, utility workflows, or engineering/construction project lifecycles.
- Experience with project management tools (e.g., Primavera P6, MS Project, Excel, Power BI).
- Understanding of cost forecasting, scheduling logic, and risk management.
- Ability to manage multiple priorities, meet deadlines, and communicate effectively across teams.
- High attention to detail with strong organizational skills.

- General familiarity with power distribution concepts, utility workflows, or engineering/construction project lifecycles.
- Experience providing technical direction for a department/organization in field of expertise.
