Position Overview
We are seeking a highly organized and proactive Administrative Coordinator to provide advanced administrative and executive support for the ARD Dean and Assistant/Associate Deans and staff.
The successful candidate will be a strategic thinker and problem-solver who can partner closely with leadership to streamline operations and support long-term initiatives. Strong skills in coordination, delegation, and independent judgment are essential for success in this role.
Key Responsibilities
- Manages complex calendars and coordinates scheduling for senior leaders, ensuring efficient use of time and integration of meetings, travel, and high-priority engagements.
- Serves as a professional and welcoming first point of contact for the office, managing incoming inquiries and greeting visitors.
- Arranges domestic and international travel including transportation, lodging, itineraries, and processing reimbursements, while ensuring compliance with university policies.
- Plans and supports events and meetings, managing logistics and ensuring seamless execution from setup to follow-up.
- Manages the office’s digital presence, including updating website content and creating/scheduling social media posts in alignment with university branding and communication goals.
- Works in a fast-paced environment with a high degree of interaction with faculty and staff to coordinate scheduling, programs, social media presence, and events.

MINIMUM REQUIRED QUALIFICATIONS
- Bachelor’s degree plus two (2) years of progressively responsible administrative experience in higher education or comparable complex organization. Additional experience may substitute for education on a year-for-year basis.
- Excellent computer skills including Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams, and SharePoint) or similar programs; and the demonstrated ability to learn new programs.
- Excellent written and verbal communication skills.
- Strong organizational skills and attention to detail.
- Demonstrated ability to prioritize tasks, manage time effectively, and work independently.
- Ability to interact professionally with diverse groups of faculty, staff, students, and external stakeholders.
PREFERRED QUALIFICATIONS
The following qualifications are preferred but not required:
- Experience with database software programs.
- Experience with SAP or similar large integrated financial management system.
- Experience in a higher education setting.
POSTED SALARY
$24.04/hr minimum
