Position Overview:
The Residential Project Coordinator plays an integral role in the successful execution of our residential projects by providing organization, coordination, and administrative support throughout the project lifecycle.
This position works closely with Project Managers, field teams, customers, vendors, and internal departments to help ensure projects are properly set up, scheduled, documented, and completed efficiently. The Project Coordinator helps keep projects moving by maintaining accurate project information, coordinating schedules and resources, tracking changes, and ensuring clear and timely communication between everyone involved.
The ideal candidate is highly organized, detail-oriented, and comfortable managing multiple projects and priorities in a fast-paced environment.
Key Responsibilities:
As a Residential Project Coordinator, you will:
- Set up and maintain new residential projects and project documentation.
- Assist Project Managers with the coordination of projects from initial setup through completion.
- Coordinate project schedules, employee assignments, and resource availability.
- Maintain accurate and up-to-date project information within company systems.
- Process and document project changes, updates, and other job-related information.
- Assist with project billing, documentation, and close-out requirements.
- Communicate with customers regarding project scheduling, updates, and other project-related needs.
- Coordinate with vendors and suppliers as needed to support project timelines.
- Assist with material, equipment, and project documentation coordination.
- Track project progress and communicate important updates to Project Managers and other team members.
- Prepare and maintain project files, manuals, procedures, and work instructions.
- Help identify scheduling conflicts, project needs, or other issues that could impact project completion.
- Collaborate closely with Sales, Accounting, Operations, Service, and field teams to ensure projects move forward efficiently.
- Provide additional administrative and project support as needed.
Qualifications:
- Ability to manage multiple projects, tasks, and deadlines.
- Excellent organizational skills and attention to detail.
- Strong customer service and interpersonal skills.
- Proficiency in Microsoft Office Suite and the ability to learn company software and accounting/project management systems.
- Ability to work independently while also collaborating effectively with a team.
- Previous experience in project coordination, construction, HVAC, plumbing, electrical, or a related industry is preferred but not required.
