THE OPPORTUNITY
Silvus is seeking a Receptionist to provide primary support for the front desk reception area, place company orders, as well as maintain/order food, snacks, beverages, and supplies for break rooms. This position reports to the Office Manager, on the Human Resources team.
This position is full-time, on-site daily, Monday through Friday. The location for this role is Silvus Technologies’ HQ in the heart of vibrant West LA.
The following is a list of at least some of the current essential job functions of the position. Management may assign or reassign duties and responsibilities at any time at its discretion.
ROLE AND RESPONSIBILITIES
- Primary responsibility is to support the front desk reception area and help oversee the office environment. Serve as point of contact for the front desk.
- Greet and check-in visitors, answer the main line, accept packages, and keep the lobby area neat and tidy.
- Monitor and maintain office supplies, including snacks, beverages, and break room items, coordinating with the Office Assistant, and assisting with stocking or ordering as needed.
- Serve as the point of contact for visitor-related orders, including meals or refreshments for onsite meetings.
- Assist with weekly set up of office lunches and monthly birthday celebrations, as well as other event planning as requested.
- Receive, sort, and distribute incoming mail and packages; prepare outgoing mail for distribution.
- Keep the office area clean and tidy.
- Maintain office filing and storage systems, which include faxing, scanning, and copying documents.

Work with the Office Coordinator on front desk duties that are included, but not limited to:

Greet visitors and follow security protocol, directing guests to the correct staff member.
- Answer phones and transfer to the appropriate staff member; take and distribute accurate messages.
- Follow visitor protocol and process visitor request forms.
- Manage office tasks and communications.
- Coordinate and organize appointments, meetings, and travel arrangements for staff.
- Coordinate and maintain staff administrative records such as internal employee badges and keycards, parking, as well as directories and seating charts.
- Type documents, reports, and correspondence.
- Perform regular documentation, logging, and data entry to support daily office operations.
- Support teams with various administrative tasks and coordination needs as they arise.
- Perform other related duties of which the above are representative.
REQUIRED QUALIFICATIONS
- High School Diploma or GED.
- Organizational skills and ability to prioritize.
- Internet skills, including the use of emails, group messaging, and data collection.
- Attention to detail, accuracy, flexibility, reliability, teamwork.
- Understanding and commitment to customer service with a high emphasis on professionalism and a positive, user-friendly attitude.
- Excellent verbal and written communication skills.
- Prior experience in a fast-paced office environment, experiencing meeting multiple deadlines.
- Rare local travel, as required by Silvus.
- Must be a U.S. Person due to clients under U.S. government contracts.
- All employment is contingent upon the successful clearance of a background check and drug test.
PREFERRED KNOWLEDGE SKILLS AND ABILITIES
- Experience with front desk and/or office administration.
- Highly proficient in Google Suite and MS Office (Excel, Word, PowerPoint).
- Demonstrate critical thinking, initiative, and problem-solving ability.
- Ability to maintain confidentiality.
- Collaborative spirit, committed to team success.
WORKING CONDITIONS AND PHYSICAL REQUIREMENTS
- Extended periods sitting at the front desk.
- Ability to regularly lift and carry up to 25 lbs.
- Walking/Moving around multiple floors and offices.
COMPENSATION: $25 / hourly
The pay range is NOT a guarantee, is based on market research and peer data, and will vary depending on the candidate’s experience and qualifications.
