Job Title: Talent Acquisition Coordinator
Department: Corporate Human Resources
Location: Downtown Chicago, IL (Hybrid, 3 days onsite/2 days remote if applicable)
Employment Type: Temporary-to-Permanent, Full-Time (40 hours/week)
Pay Rate: $29.00 per hour
Position Summary
The Talent Acquisition Coordinator plays a critical role in supporting the recruiting and hiring process from requisition creation through onboarding. This position is responsible for coordinating interviews, managing job postings and requisitions, supporting candidate sourcing efforts, facilitating new hire onboarding, coordinating candidate travel, processing recruiting invoices, and maintaining recruiting records and data integrity.
The ideal candidate is highly organized, detail-oriented, customer-focused, and capable of managing multiple priorities in a fast-paced environment. This role serves as a key liaison between recruiters, candidates, hiring managers, Human Resources, and external vendors to ensure a seamless hiring experience.
Key Responsibilities
Recruitment Coordination & Candidate Experience
- Coordinate and schedule interviews between candidates, hiring managers, and interview teams.
- Manage interview logistics, confirmations, reschedules, and follow-up communications.
- Ensure a positive candidate experience through timely, professional communication and support.
- Coordinate candidate travel arrangements, including airfare, lodging, transportation, and expense reconciliation.
- Create, manage, and maintain requisitions within the applicant tracking system (ATS).
- Post and update job openings across internal and external job boards and career sites.
- Monitor requisition activity and ensure posting accuracy and compliance.
- Assist recruiters with requisition administration and workflow management.
- Conduct proactive candidate sourcing using Indeed, LinkedIn, employee referrals, and other sourcing channels.
- Build candidate pipelines for current and future hiring needs.
- Identify and engage qualified candidates for recruiter review.
- Maintain candidate records and talent pools within the ATS.
- Coordinate pre-employment activities, including background checks, drug screens, and employment verification processes.
- Facilitate onboarding communications and documentation for new hires.
- Partner with HR, hiring managers, and other departments to ensure a smooth transition from candidate to employee.
- Track onboarding completion and resolve issues as needed.
- Maintain accurate recruitment records, candidate documentation, and system data.
- Ensure compliance with company policies, data privacy requirements, and employment regulations.
- Conduct regular audits of recruiting records and ATS data for accuracy and completeness.
- Support reporting and documentation requests as needed.
- Process and track invoices related to recruiting activities, including job boards, travel expenses, background screening vendors, and other recruiting services.
- Partner with Finance and vendors to ensure timely payment and accurate recordkeeping.
- Monitor spending and maintain documentation for recruiting-related expenses.
- Associate's degree or equivalent work experience; Bachelor's degree preferred.
- 0-2 years of recruiting coordination, human resources, talent acquisition, or administrative support experience.
- Strong organizational and project management skills with the ability to prioritize multiple tasks.
- Excellent written and verbal communication skills.
- Experience working with applicant tracking systems and recruitment technologies.
- Proficiency in Microsoft Office Suite, including Outlook, Excel, Word, and Teams.
