ROLE AND RESPONSIBILITIES
The Product Sales Officer is responsible for managing critical order-to-cash and procure-to-pay processes within a fast-paced, project-based environment. This role ensures the accurate and timely execution of sales orders, purchase orders, customer invoicing, vendor invoice management, and monthly rental billing. Success in this position requires strong organizational skills, attention to detail, and the ability to coordinate multiple project priorities simultaneously.
What you will be doing:
- Manage end-to-end sales order processing, ensuring accuracy, timely fulfillment, and alignment with project requirements.
- Create, track, and maintain purchase orders to ensure materials and services are available according to project schedules.
- Work with Supply Chain and Manufacturing teams to ensure product availability for shipment.
- Track multimodal shipments and keep customers informed of changes to delivery status.
- Ensure customer invoices are issued accurately and on time, supporting project billing milestones and promptly resolving discrepancies.
- Review, validate, and process vendor invoices, ensuring accuracy, compliance with purchase orders, and timely payment processing.
- Execute monthly rental tracking, billing, and invoicing activities, ensuring accurate invoicing and revenue recognition.
- Coordinate with customers, suppliers, project teams, and transportation providers to ensure frictionless delivery of materials to project sites.
- Monitor order status, delivery performance, invoicing activities, rental billing, and vendor invoices, proactively addressing issues that may impact project timelines.
- Maintain accurate data and documentation within ERP and order management systems.
- Support project execution by providing logistics, order, procurement, and billing visibility to key stakeholders.
- Coordinate with Customs Brokers on clearance of goods for US Customers.
- Assist with tariff classification of goods and propose improvements in the coding of Exotec products.
- Suggest ERP improvements to evolve the sales administration process.
BASIC QUALIFICATIONS
- Experience in logistics, supply chain, customer service, or order management within a project-based environment.
- Strong understanding of sales order management, purchase order management, customer invoicing, vendor invoice processing, and rental billing.
- Experience with ERP- SAP S/4HANA is a plus.
- Strong analytical, organizational, and communication skills with a high level of attention to detail.
