ABOUT THE ROLE
The Executive Assistant provides high‑level administrative and project support to senior executives and C-Suite professionals. This role requires exceptional judgment, strong communication skills, and the ability to balance multiple priorities with discretion and professionalism. The ideal candidate is proactive, resourceful, and comfortable handling confidential information while supporting a dynamic leadership team.
Responsibilities
- Administrative Support
- Manage executive calendars, including scheduling meetings, conferences, calls, and travel
- Screen and route incoming calls; take messages and return calls as needed
- Log and distribute checks directed to executive leadership
- Prepare and process expense reports; ensure timely reimbursement
- Draft correspondence, letters, and documents; research and route information as needed
- Review records, forms, and reports for accuracy and compliance with internal procedures
- Serve as a liaison for visitors and callers; greet guests and direct inquiries appropriately
- Maintain confidentiality and professionally represent the Office of the President

Order office supplies, maintain inventory, and coordinate equipment maintenance

- Attend meetings and take clear, concise minutes when requested
- Prepare reports by collecting and analyzing information

Serve as backup to the Executive Scheduler

- Prioritize competing needs and manage tasks proactively
- Follow through on projects from initiation to completion
- Support team efforts and perform additional duties as assigned
ABOUT YOU
- High school diploma required; bachelor's degree preferred
- 5-7+ years of experience supporting C-level executives (non-negotiable)
- Strong written and verbal communication skills
- Excellent organizational skills and attention to detail
- Ability to manage multiple priorities in a fast-paced environment
- Strong interpersonal skills and ability to build relationships across the organization
- Proven discretion when handling confidential information
- Resourceful, proactive, and able to work independently and collaboratively
- Comfortable using technology and adapting to new systems
ABOUT THE POSITION
- Start Date: ASAP
- Duration: 6 months (potential to convert to permanent)
- Hourly Pay: $33-$38/hr
- Schedule: 9:00 AM-5:00 PM (35-hour work week)
- Work Environment: Hybrid on-site 4x per week (metro accessible)
