Role Overview

The Director of Operations & Finance provides unified oversight and hands-on execution for the physical, business, and financial operations of the church and its preschool. This role functions as both the chief physical plant steward—directing maintenance, risk management, capital projects, and vendors across a 62,000 sq. ft. building and 10-acre campus—and the full-charge financial administrator responsible for end-to-end accounting, reporting, budgeting, and financial compliance.

Core Responsibilities

1. Financial Operations & Administration

• Execute all daily and monthly general ledger accounting, journal entries, accounts payable, accounts receivable, and bank reconciliations in accordance with church financial controls and nonprofit GAAP.
• Process semi-monthly end-to-end payroll, payroll tax deposits, employee benefit distributions (HSA/FSA), and required tax reporting (Forms 941, W-2, 1099, ACA 1094/1095).
• Process, reconcile, and record multi-channel donations (weekly plate offerings, online giving, kiosks) and distribute quarterly donor contribution statements.
• Manage financial accounting for the weekday preschool, including ACH tuition processing, tuition receivables, and specialized operational funds.
• Prepare and present monthly financial statements, fund summaries, and committee agendas for the Finance Committee and Board of Trustees, serving as recording secretary for official finance minutes.
• Partner with the Senior Pastor and Finance Committee to construct the annual budget, forecast cash flow, facilitate the annual audit, and safeguard financial internal controls.

2. Facilities, Grounds & Capital Projects

• Direct the maintenance, continuous operation, and capital renewal of the 62,000 sq. ft. building and 10-acre grounds, ensuring mechanical (HVAC), electrical, plumbing, roofing, and commercial kitchen reliability.
• Supervise, coach, and schedule the Facilities Maintenance Lead and custodial staff to uphold first-class standards of campus cleanliness, setups, and preventive care.
• Negotiate and manage service contracts for exterior landscaping, turf/irrigation systems, waste management, parking lots, pest control, and mechanical preventive maintenance.
• Coordinate major capital improvements, vendor bidding, contractor oversight, and deferred maintenance assessments in coordination with the Board of Trustees.
• Manage tenant relationships and building lease agreements (including Education Building leases and third-party facility use).

3. Safety, Compliance & Campus Security

• Oversee campus security architecture, including third-party monitoring contracts, camera systems, and life-safety alarm networks.
• Maintain compliance and official documentation for all municipal and state operating permits: fire marshal inspections, fire alarm/sprinkler testing, boiler/elevator permits, health certifications for commercial kitchens, and physical safety standards for state child-care licensing.
• Serve as the primary administrative point of contact for local police and fire rescue teams for campus emergency calls.
• Partner with insurance brokers and Trustees on annual property, casualty, workers' comp, and liability policy renewals and risk audits.

4. Business Systems & Operational Alignment

• Maintain IT infrastructure, serving as the lead relationship manager for third-party managed IT service providers, network hardware, and church software platforms (Shelby Financials/ChMS).
• Attend scheduled meetings of the Finance Committee and Board of Trustees; attend Church Council meetings as requested.

Qualifications & Experience

• Education: Bachelor’s degree in Accounting, Finance, Business Administration, or related discipline.
• Financial Expertise: 5+ years of hands-on, full-charge accounting experience, including general ledger, AP/AR, payroll, nonprofit financial statements, and fund accounting (Shelby Systems experience strongly preferred).
• Facility Oversight: 5+ years of demonstrable experience in physical plant management, commercial building operations, contractor oversight, or capital project tracking.
• Supervisory Experience: 3+ years managing direct reports (maintenance and custodial staff) and external vendors.
• Skills & Temperament: Advanced proficiency in Microsoft Excel; high degree of personal discretion with confidential giving and payroll records; strong vendor negotiation skills; ability to balance desk accounting deadlines with active field inspections across a 10-acre campus.

Pay: $90,000.00 - $105,000.00 per year
