The Logistics Coordinator is responsible for coordinating customer orders for elevator tooling, including rentals and sales, from order intake through fulfillment and billing. This role serves as a key point of contact for customers and internal stakeholders, ensuring accurate order processing, shipment coordination, inventory tracking, and financial documentation in compliance with company policies and applicable regulations.
Shift: 1st Shift
Hours: 7:30AM-4:00PM (Some overtime may be required)
Key Responsibilities
- Serve as a primary contact for customers via phone, email, and online platforms, providing timely and professional support regarding tooling rentals and purchases.
- Process customer orders from initiation to completion, ensuring accuracy, completeness, and adherence to established procedures.
- Build and fulfill orders based on customer specifications, including verifying inventory availability and order requirements.
- Coordinate domestic and international shipments, including preparation of Bills of Lading (BOL), shipping documentation, and compliance with customs requirements.
- Perform shipping and receiving activities, including inspection, documentation, and system updates.
- Maintain accurate records of orders, shipments, and financial transactions within the Tool Facility billing system.
- Enter and validate financial data necessary for invoicing and order closure.
- Run and distribute recurring reports (e.g., monthly billing, inventory, operational metrics) to internal stakeholders and field offices.
- Utilize inventory management systems to track tooling availability, movement, and reconciliation.
- Maintain and update work instructions and process documentation to reflect current practices and customer requirements.
- Support audit readiness by ensuring documentation accuracy and compliance with internal controls.
- Assist with issue resolution, including order discrepancies, shipment delays, or customer concerns, escalating as appropriate.
- Perform additional duties as assigned in support of business operations.
- Handle sensitive customer and financial information with confidentiality and integrity.
- Adhere to all company policies, safety standards, and regulatory requirements.
Education
- High School Diploma or GED required.
- Associate degree in Business, Accounting, Finance, Logistics, or a related field preferred.
Experience
- 1–3 years of experience in logistics, admin, customer service, order management, or a related field preferred.
- Experience with shipping, inventory control, or billing systems is a plus.
- Proficiency in Microsoft Office applications (Excel, Outlook); experience with database systems preferred.
Knowledge, Skills, and Abilities
- Working knowledge of inventory systems and order processing workflows.
- Familiarity with shipping procedures, including freight coordination and customs documentation (preferred).
- Basic understanding of mechanical, automotive, or elevator components (preferred).
- Strong organizational and time management skills with the ability to manage multiple priorities.
- High attention to detail and accuracy in data entry and documentation.
- Professional communication skills, both verbal and written.
- Ability to resolve customer concerns in a calm, constructive, and solution-oriented manner.
- Ability to work independently and collaboratively in a team environment.
Work Environment & Physical Requirements
- May require standing, walking, and lifting up to 35 lbs weight, in compliance with safety guidelines.
- Use of standard office and shipping equipment.
