ROLE
Office & Recruiting Ops Manager
Why We’re Hiring This Role:
We need one trusted operator to own the two things that define how Vapi feels from the inside: the physical workplace and a candidate's first impression of us. You'll be the central point of contact for vendors, facilities, and on-site operations — and the connective tissue of our recruiting process. Ideal for someone who thrives in ambiguity and thinks well beyond the job description.
What You’ll Do:
- 30 Day: Take over day-to-day office operations across both floors (vendors, food, supplies, cleaning, facilities) and keep them running without dropped balls. Own interview scheduling end-to-end across time zones. Get fluent in the ATS (Ashby/Greenhouse) with clean records and accurate stages. Step in as on-site host for guests, candidates, and execs. Map existing office and recruiting workflows and flag what's broken or ad-hoc.
- 60 Day: Become the primary contact for all vendors and building management (COIs, access, maintenance). Run the full candidate logistics experience — confirmations, prep, travel, day-of hosting — and keep loops moving (debriefs, feedback, stalled-pipeline flags). Partner with IT on provisioning, access systems, seating, and bulletproof interview rooms/AV. Start rebuilding the weak workflows you mapped and writing SOPs. Support offer logistics and the handoff into onboarding.
- 90 Day: Lead vendor negotiations (bulk pricing, service optimization) and oversee office improvements and light build-outs. Build scalable systems that reduce friction as headcount grows, and anticipate future office and hiring needs. Run light recruiting ops as volume demands. Own problems end-to-end and proactively surface what the office and hiring process need next.
BASIC QUALIFICATIONS
- 4+ years across office operations and/or recruiting coordination in a tech or startup environment (we'll weight the mix toward whichever half is heaviest for us today)
- Hands-on experience with an ATS (Ashby, Greenhouse, Lever, or similar) and high-volume interview scheduling
- Proven experience working directly with vendors, contractors, and building management
- Strong operational instincts — you notice what's broken, missing, or inefficient and fix it
- Exceptional at calendar logistics and juggling competing, time-sensitive priorities without dropping anything
- Discreet and trustworthy with confidential candidate and compensation information
- Comfortable in a fast-paced, high-growth startup with constant change
- Clear, warm communicator who can confidently represent Vapi to candidates, vendors, and executives alike
- Hands-on, proactive, and willing to roll up your sleeves

Office Operations Manager Jobs in California: Frequently Asked Questions
How do you become an office operations manager in California?
Most office operations managers in California enter the role through a bachelor's degree in business administration, operations, or a related discipline combined with progressive experience in office coordination or administrative management. California does not require a state-issued license for this role, but employers consistently favor candidates who demonstrate working knowledge of Cal/OSHA workplace safety requirements and California-specific employment regulations. Earning a credential such as a Certified Manager designation or a facilities management certificate strengthens candidacy considerably.
How much do office operations managers make in California?
Office operations managers in California earn a median of about $77,590 a year, based on May 2025 Bureau of Labor Statistics wage data, ranging from around $50,870 for the lowest 10% to over $121,650 for the top 10%. Pay rises with experience, specialty, and employer.
Which companies hire office operations managers in California?
Employers hiring office operations managers in California right now include State Street, DermCare Management, and Affordable Dental, based on current listings on Migrate Mate as of June 2026. California's concentration of large technology firms, healthcare systems, and commercial real estate companies means demand for this role stays consistent across both corporate headquarters and regional office portfolios throughout the state.
Which California cities have the most office operations manager jobs?
Irvine, San Francisco, and Los Angeles have the most office operations manager openings in California. Los Angeles and San Francisco generate the largest share of postings given their density of corporate headquarters, professional services firms, and large healthcare networks, while San Diego's biotech and defense sectors and San Jose's technology industry base also sustain steady demand for experienced operations managers.
Are there remote office operations manager jobs in California?
Yes, but they're limited. Office operations managers typically oversee physical workplaces, vendor relationships, and in-person staff support, which keeps most roles firmly on-site or hybrid. About 3% of office operations manager openings tied to California are remote or hybrid as of June 2026, and those positions tend to focus on policy, process, and vendor coordination rather than daily facilities oversight.
How can I get hired as an office operations manager in California with little or no experience?
The most realistic entry path is through an administrative coordinator or office coordinator role at a mid-size California company, where daily exposure to vendor management, facilities requests, and cross-department scheduling builds the operational foundation employers look for. Large California employers such as Kaiser Permanente, UC system campuses, and major commercial real estate firms regularly hire into coordinator pipelines that advance toward operations management. A project management certificate or a Certified Administrative Professional credential gives candidates a measurable edge over other applicants with similar experience levels.
Where can I find and apply to office operations manager jobs in California?
You can find and apply to office operations manager jobs in California on Migrate Mate, which lists current California openings across industries and experience levels. Search the listings to find roles that match your background, then apply directly to the ones that fit.
